Job Summary:

The Construction Coordinator will assist with the administration of project safety, quality, schedule, cost control, contracts, subcontractors, suppliers, procurement, proposals, estimates, documentation, turnover, client interface, and field-based activities to execute each project.


Responsibilities:

  • Issuance of Subcontract documents in a timely manner, and follow up with Subcontractor's to ensure executed contract documents, Insurance meeting contractual requirements, and W9 (as required) is received within 10 days of issuance
  • Ensure Returned Contract documents are complete to include all Exhibits. Any changes should be received within 3 days. Any mark ups to be submitted to Project Manager for review or Upper management.
  • Ensure Insurance is maintained on all subcontractors throughout the entire project
  • Ensure all Subcontracts and committed cost are entered into the accounting system accurately
  • Ensure all Subcontract modifications are issued at the project manager's discretion and executed copies returned from subcontractor within 7 days of issuance
  • Ensure to read project specs to complete a Close Out list requirement at the beginning of a project
  • Collect all Close Out documents prior to release of prior progress payment
  • Complete all project Close Outs to submit for approval within 10 days of project substantial completion
  • Provides general and specialized administrative support to Project Managers and Estimators.
  • Gathers, compiles, tracks and reports on information relevant to project assignment from multiple sources
  • Assist the Project Management team execute prime contracts, downstream contracts, and change orders.
  • Assist with jobsite set-up activities, including mobilization and demobilization.
  • Coordinate potential bidders' supplier/subcontractor registration and pre-qualification efforts on behalf of the Project Management team.
  • Assist the Project Management team to administer request for proposal (RFP) package development, bid and selection process, and develop detailed scope of work documents for downstream contracts.
  • Establish and administer project documentation and filing systems.
  • Assist with the project turnover documentation, recordkeeping/retention, warranty administration and project closeout.
  • Assist with proposals, making copies of drawings, acquiring permits, obtaining special project job number, work orders and submittals
  • Assist in development and assembly of close out documents (as-built drawings, operating manuals, shop drawings, guarantees)
  • Enter internal budget revisions and enter / issue sub change orders
  • Keep up with all warranty items that come up during warranty period and schedule with subcontractors and Owners to get items fixed
  • Order all supplies : office, safety, and jobsite supplies
  • Prepare binders and tabs for jobsites
  • Create and maintain all job contact lists
  • Help gather all documents for Owner Contracts including Insurance, Bonds, and MWBE Certificates and LOIS if required

Qualifications:

3-5 years' experience in Construction Management, Engineering or a related field. Excellent computer skills and proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, and Access). Knowledge of document control, scheduling, cost control and project management software is preferred. Excellent written and verbal communication skills and strong organizational skills. Strong analytical and problem-solving skills, and attention to detail. Ability to handle large volumes of work and multi-task in a fast-paced environment.
