About the Role:

We're looking for a Construction Coordinator who thrives in a fast-paced, team-oriented environment and brings a sharp eye for detail, organization, and communication. This dynamic role supports construction and tenant coordination teams across tenant buildouts, capital improvements, and large-scale development projects. You'll play a key part in both the project execution and contract administration processes, helping to deliver best-in-class commercial spaces that serve communities and create lasting value.


What You'll Do:

  • Review and process vendor invoices for Development Construction, CAPX and landlord-related work.
  • Ensure accuracy and compliance with contractual agreements and company policies.
  • Communicate with vendors regarding invoice discrepancies and payment status.
  • Assist in proofing & processing contractor pay applications, vendor invoices, lien releases, vendor insurance tracking
  • Prepare invoices and reports for billing Tenant coordination & Construction Management Fees
  • Prepare bank draw packages
  • Prepare construction and consultant contracts and exhibits.
  • Prepare various tenant notices.
  • Update and maintain tenant tracking reports to reflect current occupancy, lease terms, and tenant information.
  • Keep Ascendix tracking logs current.
  • Collaborate with property management teams to ensure data accuracy and timely reporting.
  • Draft and issue delivery and possession letters to tenants, ensuring compliance with lease agreements.
  • Liaise with development accounting to reconcile project budgets and expenditures related to contracts and vendors.
  • Support financial reporting efforts by providing necessary documentation and updates on project statuses.
  • Assist in the review, track and approval of tenant plans and signage drawings.
  • As needed, help organize preconstruction meetings with Property Management, the tenant and the tenant's general contractor team after lease execution.
  • Assist in disbursement of building plan packages and other required information to tenants
  • Assist tenant services team with review of lease documents and tracking deliverables, processing tenant allowances and construction deposits
  • Perform other duties as assigned.

Who You Are:

  • Excellent communication and organizational skills.
  • Strong attention to detail.
  • Familiarity with construction terminology, practices, materials, means, methods, and techniques.
  • General knowledge of development and construction office administration from pre-construction to completion.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook & Bluebeam).
  • Exposure to Adobe Creative Suite (Illustrator, Photoshop, InDesign, etc.) preferred.
  • Knowledge and experience with Microsoft Project, Procore, Sage and Salesforce preferred.

Educational Experience:

  • Bachelors degree preferred
  • Experience in mixed-use and retail developments
