Role Description

This is a full-time on-site role for a Construction Accounting Specialist located in San Diego, CA. The Construction Accounting Specialist will support the Accounting team in overseeing various accounting processes and general office needs. This role is essential for the company's growth and development, requiring an energetic and dependable individual to manage various accounting tasks and assist in administrative functions. This role will work closely with the company's Financial Controller, additional Accounting Specialist, project managers, and other team members to ensure the financial integrity of projects and the company's overall financial soundness.


Key Responsibilities:

  • Invoice Preparation: Preparation, review, and input of monthly invoices for Owner/ Clients, subcontractors, and vendors.
  • Payment Processing: Processing weekly payments to include joint checks, managing accounts payable and receivable, tracking payment status, and collections.
  • Record Keeping: Maintaining accurate records and proper levels of approvals for various financial transactions, including but not limited to employee reimbursements, cash logs, projects costs, various G&A expenses, and credit card receipts.
  • Vendor Management: Building and maintaining relationships with vendors and suppliers, keeping vendor records updated to include W9s and contact information.
  • Compliance: Ensuring all payments before release meet proper compliance requirements for construction industry standards to include proper sub/ supplier lien releases, certified payrolls, insurance documents, bonds, and other financial standards.
  • Data Entry: Entering and managing various forms of data in project management and accounting software systems.
  • Auditing Support: Providing support for internal and external audits.

Additional Responsibilities depending on experience may include assisting the Financial Controller with Payroll Processing, Month-end / Year-end Close process, Cash Management, and Financial Reporting.


Qualifications

  • A bachelor's degree in accounting is highly preferred and/or 8+ years of work experience in accounting-related positions with the ability to demonstrate a strong understanding of accounting fundamentals.
  • 4+ years of Construction Industry Experience required
  • Able to demonstrate strong Microsoft skills specifically within Excel
  • Detail orientated & well-organized
  • Customer Service orientation
  • Excellent oral, written, and interpersonal communication skills
  • Experience with QuickBooks Enterprise or QuickBooks Contractor Edition - Required
  • Experience with Procore Project Management system - preferred
