Job Title: Conference Room/Events Coordinator

Rate: $23 - $25/hour

Location: Austin, TX 78701

Duration: 12 Months

Role Summary:

This role will assist with the daily operations of the Client Center. Responsibilities include, but are not limited to:

  • Assist, tend to, and anticipate guest needs by responding to all questions and requests in a timely manner
  • Understand, follow, and implement all client center policies and procedures
  • Work closely with internal partners including the kitchen, security team, audio visual team, events team, and facilities team
  • Co-manage EMS (Event Management System) reservation software and oversee the execution of daily meetings and events
  • Inspect the spaces daily, complete facilities requests as needed, and follow up for completion
  • Understand and communicate daily setups to appropriate parties
  • Maintain a high level of cleanliness, organization, and attention to detail in the space and event rooms
  • Manage inventory of pantry, and maintain working knowledge of beverage service and catering
  • Understand food prep and health and safety rules, regulations, and best practices
  • Assist in surveying guest experience and proposing solutions based on feedback
  • Various administrative tasks such as: invoice processing, scheduling maintenance calls with vendors, and ordering kitchen, banquet, and office supplies
  • Flexibility to work early mornings or late evenings as needed

Primary Responsibilities:

  • Manage the Client Center reservation books, including reporting and metrics
  • Oversee Client Center's daily meetings and events
  • Implement, develop, and follow Client Center protocols and procedures (meet and greet, security protocols, catering setup, client management)
  • Liaise with catering partners and applicable back-of-house staff
  • Survey client experience and propose solutions based on feedback as needed
  • Liaise with staff on administrative tasks including invoice processing, vendor scheduling, and ordering supplies
  • Flexibility to occasionally work early mornings or late evenings

Event Planning Duties:

  • Plan events ranging from 10 to 500 people with varying complexity
  • Monitor and manage projects including creation of project plans and budgets (prepare, manage, and reconcile)
  • Lead event teams and direct multiple event components simultaneously
  • Collaborate and interact with firm's senior and middle management and clients
  • Provide strategic input and recommendations to business group on event development
  • Maintain partnering relationships with internal departments such as Food Services, Conference Services, AV, Security, and Facilities
  • Manage all aspects of events including:
  • Internal consulting
  • Concept proposal development
  • Site selection and RFP process
  • Vendor negotiation and contract administration
  • Hotel and travel logistics coordination
  • AV setup, decor, menu planning, invitations, and event websites
  • Speaker coordination, giveaways, entertainment, and on-site staffing

Requirements:

  • Bachelor's degree required
  • 2 years of previous experience in hospitality or receptionist roles
  • Entry-level role despite the title
  • 100% in-office presence required
