About the State Fair of Texas

Since its inception in 1886, the State Fair of Texas has celebrated all things Texan by promoting agriculture, education, and community involvement through quality entertainment in a family-friendly environment. The State Fair of Texas is a 501(c)(3) nonprofit organization with proceeds helping to preserve and improve our home, Fair Park; underwrite museums, community initiatives, and scholarship programs to support students throughout the Lone Star State pursuing higher education; and help improve State Fair operations.

SUMMARY

Provide administrative and technical support for the daily operations of the entire Food Service Department; analyze general liability insurance and worker's compensation insurance policies to assess that SFT requirements are met; provide general information regarding departmental and SFT services and programs to callers and visitors; perform a wide variety of support duties; process paperwork associated with leasing concessions space; respond to requests for information from management/supervisory personnel or guests.

DUTIES and RESPONSIBILITIES

Essential and other important responsibilities and duties may include, but are not limited to, the following:

Essential Functions:
  • Serve as a key member of Food Service team, contributing to the overall institutional growth and development.
  • Prepare set-up of contracts and invoices for all concessions vendors; track and assist in management of contracts, payments, and concessions programs (BTCA, Thrifty Thursday, and new foods).
  • Follow-up on invoices and payment with the Finance Department.
  • Assist SVP and Manager in creating rules and regulations for vendors and ensuring compliance as needed.
  • Coordinate insurance-related matters for the department and work directly with the SVP of Concessions and the SFT insurance consultant to ensure compliance.
  • Assist SVP and Manager in the development and approval process of menus
  • Assists Manager in production of Big Tex Choice Awards Program.
  • Provide general information regarding departmental and SFT services to potential concessionaires.
  • Process correspondence associated with leasing concessions space.
  • Answer telephones and transfer callers to appropriate parties; respond to questions and requests for information from callers; refer callers to appropriate sources to receive relevant information about inquiries.
  • Prepare, process, and proofread a variety of documents including general correspondence, proposals, instructional guides, reports, memoranda, schedules, and other related documents
Marginal Functions:
  • Support the Mission Statement of the State Fair of Texas and Food and Beverage.
  • Perform related duties and responsibilities as required and other duties as assigned.
  • Comply with all internal, state and federal regulations.
  • Complete all training as directed by management.
Requirements

QUALIFICATIONS

Knowledge of:
  • Computer usage and Microsoft Office (or comparable) products.
  • Effective customer service techniques.
  • Office procedures, methods, and computer equipment.
  • Computer software applications.
  • Departmental policies and procedures for assigned areas of responsibility.
Ability to:
  • Communicate clearly and concisely, both orally and in writing.
  • Explain SFT programs and services related to assigned department.
  • Perform multiple tasks simultaneously.
  • Provide effective administrative and clerical support to assigned departments.
  • Maintain effective working relationships.
  • Maintain good customer service.
EXPERIENCE and TRAINING GUIDELINES

Any combination of experience that would likely provide the required knowledge is qualifying. A typical way to obtain knowledge and abilities would be:

Preferred Education and/or Experience:
  • High School Diploma or GED equivalent.
  • One to three years of previous administrative support or related experience.
  • Specialized training in computer software programs appropriate to SFT.
SUPERVISION RECEIVED and EXERCISED
  • Receives general supervision from the SVP - Concessions and Manager-Concessions
  • Works independently with regular supervision to clarify assignments and receive guidance as needed.
  • Exercises indirect supervision over assigned part-time employees.
WORKING CONDITIONS

Environmental Conditions:
  • Office environment; exposure to computer screens.
  • Working outdoors in various weather conditions and on uneven and/or slippery surfaces, as necessary, especially during Fair time and special events.
Physical Conditions:
  • Essential and other important responsibilities and duties require maintaining physical condition necessary for:
  • Remaining in a stationary position for prolonged periods of time.
  • Moving short and long distances to access office supplies, meet guests, perform duties within Fairgrounds, etc.
  • Verbally communicate with both internal and external contacts.
  • Occasionally lift objects no more than 25 pounds unassisted.
