Job Summary/Basic Function:About This Role:
The Compliance Coordinator is responsible for collecting and maintaining compliance-related data, ensuring university policies and documents align with state and federal legal requirements, including but not limited to Texas Senate Bill 17 (S.B. 17). This role involves reviewing and updating records, monitoring adherence to regulations, and reporting findings to the Vice President of Student Affairs. The Compliance Coordinator will assist in identifying non-compliant language in university materials, tracking necessary updates, and maintaining detailed documentation of audits and review processes. This position does not develop policies but ensures compliance with existing regulations through record-keeping and reporting. The role will play a key part in supporting the university's commitment to neutrality in employment, admissions, and programs while ensuring all practices align with applicable legal requirements. Additionally, the Compliance Coordinator will be responsible for monitoring and ensuring compliance with any new or amended state or federal legislation that impacts higher education policies and institutional practices. This position also ensures compliance with other applicable higher education laws, institutional policies, and accreditation standards, supporting the university in maintaining legal and regulatory adherence at all levels. The Compliance Coordinator will work closely with the campus community, internal auditor and the general counsel for the system to ensure comprehensive compliance and legal alignment.
What You'll Do - Position Responsibilities:
- Monitor and ensure compliance with Texas Senate Bill 17 and other applicable state and federal laws by reviewing university policies, communications, and procedures.
- Develop and maintain a compliance tracking system, ensuring timely reports on legislative updates, audit findings, and policy adjustments for university leadership.
- Review and update university materials (e.g., policies, manuals, syllabi, websites, and marketing materials) to align with legal and regulatory requirements.
- Coordinate with university leadership, internal auditors, and general counsel to implement compliance processes and facilitate institutional adherence to evolving legal mandates.
- Establish a structured compliance review process, including regular audits, automated tracking, and corrective actions in collaboration with university departments.
- Assist with training and awareness programs for faculty and staff on compliance requirements and best practices to ensure understanding and adherence.
- Document and report compliance status and violations, ensuring accurate record-keeping for audits and regulatory reporting.
Key Competencies: - Strong organizational and record-keeping skills.
- Ability to communicate compliance-related findings effectively.
- Ability to work effectively with internal auditors and legal counsel to ensure compliance.
- Experience using compliance tracking software, policy management systems, and data reporting tools to facilitate audit processes and compliance monitoring.
- Ability to work with automation tools for policy review and compliance tracking.
- Proficiency in Microsoft Office and data management systems.
- Excellent communication skills
Physical Requirements: - Requires sitting for extended periods and use of computer and office equipment. Exerting up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time.

Minimum Qualifications:- Bachelor's degree or equivalent experience in administrative support, compliance, or a related field.
- At least 2 years of experience in administrative support, data collection, compliance, or records management.
- Strong organizational skills with attention to detail.
- Ability to maintain and manage compliance-related records and reports.
- Basic understanding of regulations affecting higher education institutions, including but not limited to Texas Senate Bill 17.
