Job Summary:The Compliance Coordinator plays a critical role by supporting and recording YWCA Mohawk Valley funding activities including special events, donations, and grants by working closely with senior management and other staff to accurately document funds.
Essential Duties and Responsibilities:- Process donations and prepare acknowledgement letters and other correspondence in a timely manner.
- Update and maintain donor, member, and prospect records in fundraising database.
- Track and manage all donations and processes including in-kind and wish list items.
- As required, export fundraising database lists and reports. Ensure accuracy and completion of such information.
- Collaborate with Finance Department to ensure accuracy of all agency donations and balance with Finance's ledger.
- Prepare donor lists for newsletter, appeals and other publications.
- Analyze, dissect and assign specific tasks and responsibilities to other departments/staff for grants and other funding opportunities for completion of funding applications. Submit completed applications by assigned due dates. Combine staff's input/assignments into one final version as needed.
- Along with leadership team, oversee the compliance and reporting requirements to meet deadlines and expectations all grants.
- Review terms and conditions of grants, contracts or agreements to ensure compliance. Distribute completed forms and contracts for review and signatures.
- Manage and track program reporting for all major federal, state, and community grant contracts.
- Maintain and update all funding databases (i.e. SFS, GMS, etc.) for user access and roles.
- Schedules and leads grant meetings, records minutes, and follows up as needed.
- Other administrative duties as assigned.
Education:• Minimum High School diploma (Associate degree preferred) or experience with events, fundraising, and/or grants.
Required, Specialized, or Technical Knowledge:• Professional manner and appearance.
• Must possess maturity and sensitivity to confidential information.
• Able to work with ability to organize time and duties, follow through with assignments and meet deadlines. Ability to coordinate and manage numerous ongoing activities.
• Demonstrated ability to work with executives and in a team atmosphere.
• Flexibility in work assignments and interest in assuming new responsibilities in an evolving work situation are essential.
• Excellent verbal and written communication skills to establish clear expectations in a fast-paced setting.
• Working knowledge of Microsoft computer software required.
• Experience with donor databases a plus.
• Ability to work hours outside or normal office hour in order to support fundraising activities.
• Comfort with uncertainty and ambiguity while being proactive in anticipating and preempting problems.
• Represent the agency as needed to both internal and external audiences.
