Position Title: Compliance Administrator
Location: Tacoma WA or Bothell WA (80-90% remote)
Reporting To: Division Vice President of Community Management
Status: Non-Exempt, Part-Time
Salary: $23.00-$28.00 Hourly

EMPLOYEE OWNER POSITION PURPOSE: The Compliance Administrator is responsible for promoting and enforcing established residential property standards designed to preserve the aesthetics and lifestyle of the community. These standards are defined by the HOA Governing Documents and other requirements set forth by the Board of Directors. This role requires the ability to independently prioritize and self-manage time in order to meet assigned tasks.
JOB DUTIES AND RESPONSIBILITIES: - Conduct in-person physical exterior site inspections of all homes from the common elements to verify compliance with the HOA governing documents. May, as requested, verify changes or improvement requests to confirm specifications are in accordance with Architectural & Landscape Committee standards and governing documents
- Collaborate with the assigned team to finalize inspections to ensure violation letters are processed and report any concerns on common elements to the portfolio team; Document and track time spent on-site for client reporting to portfolio team
- Ensure management of inspection schedule based on contracted frequency of site reviews
- Utilize company designated software or reporting system to track inspections and escalate compliance processes on homeowner accounts
- Escalate questions or concerns requiring secondary review, as applicable
- Provide or attend compliance training as directed by leadership
- May, as requested, conduct inspections for properties that transition from the Developer stage - specifically focusing on quality standard compliance and cleanliness of common areas
- Regularly communicate with multiple levels of staff to ensure effective channels remain open between the Community Management team and homeowners regarding questions or concerns on compliance matters; serve as a conduit to relay feedback appropriately and in a timely manner
- Other duties and special projects as assigned
QUALIFICATIONS: - High School Diploma (or equivalent); Associate's Degree preferred
- Minimum of (2) years of work experience
- Ability to meet deadlines and address time-sensitive issues
- Excellent written and verbal communication
- Ability to provide high-level customer service with attention to detail and organization
- Must be a team player
- Ability to self-manage time in order to complete assigned tasks during work hours
- Willing to learn Company process and procedures, and learn/use proprietary software
- Must be able to manage workflow on a smartphone or tablet and complete dictation, take and describe photos, and document findings in an electronic system
- Adaptable and dependable with a solid attendance record
- Professional and respectful demeanor with all staff and guests at all times
SPECIAL POSITION REQUIREMENTS: - Must have reliable transportation to conduct site visits
- Must be able to drive in the dark if required
- Must have and maintain a valid driver's license, vehicle insurance, and driving record in compliance with Company policy
ESSENTIAL FUNCTIONS: - Use standard office equipment, including: computer, phone, etc.
- Ability to stand and walk properties, at ground level, for up to 4 hours at a time as needed to support clients
- Be stationary for periods of time
- Ability to drive for up to 3 hours at a time
- Relocate up to (25) pounds
- Travel to and from offsite client locations
SUPERVISES OTHERS? IF SO, LIST: SCHEDULE & TRAVEL: - 20-30 hours per week, dispersed Monday-Friday
- This position may require occasional long hours to meet business needs
