ABOUT THIS POSITION

The City of Phoenix Human Services Department (HSD) enhances the health, wellness, and quality of life for Phoenix residents by providing a comprehensive array of services to help people meet emergency, short-and long-term needs; and to help every individual reach their highest level of self-sufficiency. HSD offers a wide variety of programs for children, adults, and families at numerous locations throughout the city.

The Community Services and Initiative Division of the Human Services Department provides holistic and coordinated services to low-income, vulnerable residents of Phoenix through a qualified and dedicated workforce. The Community Services Program offers a variety of social services to low-income households experiencing crisis. Services are provided through three family services centers. Each center provides a broad range of assistance with urgent needs as well as short and long-term case management services.

Currently, there is a vacancy for a Secretary II at the John F. Long Family Service Center.

Secretary II responsibilities include providing excellent telephone and in person customer service to the public, providing administrative support to the Secretary III in a structured setting of a Family Services Center, working in cooperation with a casework unit who provide information and referral, emergency assistance and case management services to low-income city of Phoenix residents Responsibilities require considerable contact with diverse low-income groups, other agencies, anti-poverty workers and the public. Working with diverse groups such as race, ethnicity, cultural backgrounds, disabilities, gender, gender identity, sexual orientation, and health statuses, including individuals affected by HIV/AIDS. This includes not only working with but also promoting causes that align with these groups.

Areas of responsibility include:
  • Providing administration support for facility operations and service delivery.
  • Provide administrative support to a casework unit.
  • Train and provide support to clerical employees.
  • Schedule meetings and customer appointments, books conference rooms for internal and external customers.
  • Take meeting minutes and prepares documents for distribution.
  • Coordinate routine office facility management responsibilities independently with minimal direction from Secretary III.
  • Retrieve/track client files manually and or in a client database.
  • Operate common office equipment incidental to secretarial assignments such as copiers, faxes, and scanners.
  • Serve as a liaison for landlords to resolve check and services-related concerns.
  • Respond to inquiries for the public and assist with a resolution related to services delivery.
  • Answer questions and inquiries regarding division programs and services and city policy/procedures, over the phone or in person, and resolves questions or problems independently.
  • Act as a receptionist, greeting visitors, answering and responding to general inquiries, or directing visitors to the appropriate resource agencies.
  • Demonstrate superior seamless customer service, integrity, and commitment to innovation, efficiency, and fiscally responsible activity.
  • Move light objects weighing less than 20 pounds such as mail, supplies, and files.

SALARY

Pay Range: $16.47 to $25.56 per hour.

Hiring Range: $16.47 to $23.18 per hour.

MINIMUM QUALIFICATIONS
  • Two years of secretarial experience, including training in office productivity software and the use of modern office equipment.
  • Other combinations of experience and education which meet the minimum requirements may be substituted.
  • All finalists for positions are subject to a criminal background check applicable to the department or position.
  • Candidates who receive a conditional offer of employment must be fingerprint ed and will have their fingerprint s used to check the Criminal History Records of the State of Arizona Department of Public Safety and the Federal Bureau of Investigation. Any records returned will be reviewed to determine the candidate's suitability for the job.
  • Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:
  • Experience providing quality customer service to the public by telephone, email, or in person.
  • Experience keeping inventory and ordering office supplies.
  • Experience operating multi-line telephone systems.
  • Experience providing support to staff.
  • Computer data entry experience.
  • Experience processing checks.
  • Experience in scheduling, booking rooms, and maintaining calendars.
  • Bilingual, ability to speak Spanish preferred.
