Position Overview Apex Skin is seeking a highly organized and dynamic Community Care Administrator to lead efforts in bringing exceptional dermatologic care directly to patients in the field. This role is essential in ensuring smooth operational workflows, administrative excellence, and strong facility relationships, all while upholding Apex's commitment to top-tier patient experiences.
The Community Care Administrator will manage the administrative coordination of mobile care services, oversee provider field deployment, develop and train staff, nurture relationships with partner facilities, and ensure that clinical practices align with Apex's standards. This leader will also play a key role in evaluating, updating, and developing Standard Operating Procedures (SOPs) as the program expands, collaborating closely with compliance, operations, finance, and marketing.
Key Responsibilities - Oversee and coordinate all administrative aspects of mobile care services, ensuring seamless scheduling, registration, and chart management.
- Serve as the primary point of contact for providers in the field, ensuring they have the necessary resources, equipment, and support.
- Conduct daily huddles with the mobile care team to align on scheduling, workflows, and priorities.
- Act as field support to provider through medical assisting and support when staffing needs require.
- Ensure timely documentation of patient encounters, lab results, and pathology reports.
- Lead and mentor a team of administrative and clinical support staff, fostering a culture of excellence, accountability, and professional growth.
- Build and maintain strong relationships with partner facilities, ensuring clear communication and alignment with Apex's clinical standards.
- Serve as the liaison between facilities, providers, and Apex leadership, addressing concerns and optimizing workflows.
- Evaluate and refine operational processes, ensuring efficiency in field deployment, scheduling, and patient management.
- Develop, update, and implement Standard Operating Procedures (SOPs) to support program growth and compliance with healthcare regulations.
- Work closely with compliance, operations, finance, and marketing teams to enhance service offerings and improve patient experiences.
- Ensure adherence to OSHA, HIPAA, and other relevant regulatory standards.
- Monitor and analyze key performance metrics, ensuring optimal patient flow, staff productivity, and service quality.
- Provide coaching, training, and ongoing support to administrative and clinical staff to maintain high standards of patient care.
- Prepare reports and present data-driven recommendations to leadership for program optimization.
Requirements - 2+ years of experience in healthcare administration, clinical supervision, or call center management.
- Strong leadership and team development skills, with the ability to mentor and motivate staff.
- Excellent organizational, communication, and problem-solving abilities.
- Proficiency in managing healthcare workflows, including scheduling, patient registration, and chart management.
- Ability to develop and implement SOPs in collaboration with cross-functional teams.
- Understanding of healthcare compliance regulations (OSHA, HIPAA).
- Experience in dermatology or mobile healthcare services preferred.
