What We Do: FDA-approved LUMRYZ (sodium oxybate) is a central nervous system depressant indicated for the treatment of cataplexy or excessive daytime sleepiness (EDS) in patients 7 years of age and older with narcolepsy. The FDA found LUMRYZ to be clinically superior to currently marketed twice-nightly oxybate products and granted LUMRYZ seven years of Orphan Drug Exclusivity for adults on May 1, 2023, and again for pediatric patients 7 years and older on October 16, 2024. In both instances, FDA found that LUMRYZ makes a major contribution to patient care over currently available, twice-nightly oxybate products by providing a once-nightly dosing regimen that avoids nocturnal awakening to take a second dose.

Position Summary: Avadel is seeking a Commercial Operations Coordinator who is a dynamic self-starter, fast learner, strong collaborator, relationship builder, organizer extraordinaire, and can embrace a growing organization's needs. The role will work cross-functionally to provide project coordination, operational support and some administrative task support to a primarily remote Sales & Marketing team.
The Commercial Operations Coordinator must be detail oriented, maintain a decidedly customer-focused perspective, be results driven and possess the ability to learn fast and adjust to change quickly. They will be responsible for the day-to-day logistical operations of the promotional speaker bureau logistics, management of print production and Marketing or Sales collateral inventory and fulfillment. This position will serve as back-up Promotional Advisory Review Committee coordinator and will provide support for logistics and meeting management including regional sales congresses and national or regional sales meetings. They will be responsible for project coordination and processes related to vendor contracting, purchase order requests, calendar management, roster maintenance and other administrative tasks as assigned.
Essential Functions: - Manage marketing and sales vendor documents including account plans, purchase requests, proposals, contracts, NDA's, SOW's, and retrieving appropriate materials for field-based commercial team when required.
- Manage day-to-day logistics for promotional speaker bureau, print production and field collateral fulfillment.
- Provide logistical support for congresses and other large meetings such as the National Sales Meeting or other POAs (Plan of Action meetings).
- Provide support for various commercial activities related to compliance including state and local licensing for the field based commercial team.
- Provide Commercial Team training support including meeting planning and scheduling for all field-based training events (New Hire Training, Train the Trainer, Regional meetings, Leadership meetings), managing employee set up in the learning management systems (Avadel Academy, GameLab, etc.), calendar invites for commercial training sessions, post-training surveys, attendance and other required record keeping.
- Manage regional/local conference requests for members of the Marketing and Sales organization and coordinate logistics (e.g. conference sign-ups, sponsorships, booth delivery, etc.)
- Responsible for the ongoing maintenance of the commercial team roster, email distribution lists and Microsoft Teams assignments.
- Coordinate and manage HQ Field Rides.
- Plan and execute department meetings. This will include ensuring appropriate work materials are available, event participants are confirmed, recording of meeting minutes, food is ordered and delivered, etc.
- Prepare internal correspondence, communications, and presentations for the commercial teams.
- Support other team members when planning cross-departmental events.
- Coordinate commercial calendars for team/large group meetings.
- Other administrative support as needed.
Experience and Qualifications: - High School Diploma or equivalent, Bachelor's degree preferred.
- Minimum 3 years coordinator / administrative support in a corporate sales environment. Pharma and/or Biotech experience a plus.
- Intermediate to advanced knowledge of Microsoft Office Suite (including SharePoint and Teams), Concur or a similar expense platform.
- Ability to develop and/or manage standard business processes (e.g. conference requests, roster management, onboarding, etc.)
- Strong written and verbal communication skills and track record of cross-functional collaboration required
- Certain customers and/or Health Care Professionals may have credentialing requirements that apply to field roles to gain access to perform the essential functions of the position. In these cases, credentialing requirements must be met (which may include vaccinations such as influenza and COVID-19). Talk with a People & Culture Representative if there are questions.
