The Leasing Administration Manager is responsible for overseeing all administrative aspects of leasing activities within the company, ensuring smooth operations of lease contracts, tenant communications, and compliance with legal and regulatory standards. This role plays a key part in managing the lease lifecycle, from negotiation to renewal, as well as maintaining accurate and up-to-date records for all lease-related matters.
Key Responsibilities:
Lease Management:
- Oversee the administration of new and existing lease agreements, renewals, and amendments.
- Ensure timely execution and proper documentation of all lease-related contracts.
- Review lease terms and conditions, ensuring accuracy and compliance with company policies and legal regulations.
Documentation & Record Keeping:
- Maintain accurate and up-to-date records of all lease agreements, amendments, and correspondence.
- Organize and store leasing documents electronically and in physical files, ensuring accessibility and security.
- Prepare lease summaries, reports, and renewal notices for internal use and tenant communication.
Tenant Relations:
- Serve as the main point of contact for tenants regarding leasing issues, including inquiries, lease renewals, and dispute resolution.
- Address tenant concerns and resolve issues related to lease terms, payments, and property conditions in collaboration with property management.
- Foster positive relationships with tenants to enhance retention and satisfaction.
Financial Management:
- Monitor lease payment schedules and ensure timely payment of rent and other charges.
- Work closely with the accounting department to ensure proper billing, rent collection, and financial reporting.
- Process and track payments, late fees, and any other lease-related financial transactions.
Reporting & Analysis:
- Prepare and analyze leasing reports, including occupancy rates, lease expirations, and revenue projections.
- Provide insights to senior management on lease performance, market trends, and opportunities for lease optimization.
- Track lease expiration dates and proactively initiate renewal discussions with tenants.
Compliance & Legal Oversight:
- Ensure that all lease agreements comply with local, state, and federal regulations, as well as company policies and procedures.
- Collaborate with legal teams to address any lease disputes, violations, or enforcement issues.
- Stay up to date on relevant legal changes and industry trends that may affect lease management processes.
Collaboration:
- Work closely with leasing agents, property managers, and other departments to ensure smooth operations and timely completion of leasing activities.
- Participate in cross-departmental meetings to ensure alignment on leasing goals, strategy, and operations.
Systems & Tools:
- Use leasing software and property management systems to track and manage leases, renewals, and related tasks.
- Assist in the implementation and improvement of leasing management processes and systems.
Skills & Qualifications:
- Education: Bachelor's degree in Business Administration, Real Estate, or related field (preferred).
- Experience: 5+ years of experience in lease administration, property management, or a related field.
- Knowledge: Strong understanding of leasing laws, regulations, and real estate practices.
- Skills:
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Proficient in leasing software and Microsoft Office Suite (Excel, Word, PowerPoint).
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively with teams.
- Certifications: A real estate or property management certification (e.g., Certified Property Manager (CPM), Real Property Administrator (RPA is a plus.
