Job Description

Position Summary:

The Collections and Registrarial Fellow is primarily responsible for providing departmental support in all aspects of collection management and exhibition registration. The person in this short-term fourteen-month position works closely with all members of the Collections Team to provide operational care of 23,000 works of art and associated metadata, according to professional museum standards.

Position Responsibilities:
  • Perform systematic, physical handling and inspection of collection objects, including recording precise measurements, basic research, and baseline condition reporting.
  • Gather and enter core cataloguing data into database (TMS Collections), as per the established cataloguing guidelines; create basic object, loan, and exhibition database records.
  • Assist team members with workflow related to new acquisitions, exhibitions, conservation, and incoming and outgoing loans
  • Assist with collections-based projects, including the evaluation and processing of unaccessioned objects, periodic inventories of collection subsets, pulling and re-housing objects for photography and classes, and monitoring storage areas and assessing needs
  • Update locations in database.
  • Proctor classes on occasion, and assist with visiting researchers.
  • May be called upon to act as a courier for local shipments and virtual appointments.


Required background, knowledge, skills and abilities:
  • BA in art history with a strong preference for a specialization in Medieval Studies.
  • Broad knowledge of art history, and various fine art media and practices.
  • Prior knowledge of art handling best practices, and art and artifact collections care in a museum environment
  • Experience cataloguing artworks and data entry skills.
  • Excellent oral, written, and interpersonal communication skills.
  • High degree of organization, self-motivation, and attention to detail.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office Suite.
  • Ability to handle art storage boxes and objects up to 30 lbs.; ability to climb ladders and lift materials above head.


Preferred knowledge, skills and abilities
  • At least 3 years of work experience in a museum or gallery, within the registration and/or collections management department.
  • Prior direct experience with TMS Collections database.
  • Advanced knowledge of art handling best practices.
  • Condition reporting experience.
  • Curating experience within a college art museum setting.
  • Advanced knowledge of accessioning protocols within a college art museum.
  • Fluency in Spanish
