San Francisco Campus for Jewish Living:Nestled in San Francisco's Excelsior neighborhood on a nine-acre campus, the San Francisco Campus for Jewish Living (SFCJL) is a center of excellence in providing a continuum of care. This includes the Frank Residences, offering luxurious assisted living and memory care services; the Jewish Home and Rehabilitation Center, featuring long-term skilled nursing, short-term rehabilitation, and an acute psychiatric unit specialized in mental healthcare for older adults over age 55; and the Jewish Home and Senior Living Foundation.

Position Overview:The Clinical Scheduling and Payroll Supervisor is responsible for supervising and managing a small team of Clinical Scheduling/Payroll Clerks to ensure appropriate nurse staffing (i.e. RNs, LVNs, CNAs, Safety Monitors, etc.) is maintained. Additionally, this position is responsible for overseeing and ensuring the completion of certain tasks/functions, including but not limited to ensuring accurate reporting of the Nursing Hours Per Patient Day (NHPPD), processing overtime information, processing PTO requests, preparing monthly and daily schedules, and ensuring complete and accurate employee timesheets. Lastly, this position serves as an onsite super-user of the On Shift Scheduler.
Essential Functions:
Supervisory Functions:
- Ensure complete staffing within the Clinical Scheduling/Payroll Office.
- Manage employee performance, establish goals, conduct evaluations and develop improvement plans as necessary.
- Ensure that the Clinical Scheduling/Payroll Office has adequate coverage throughout the week.
- Report any significant concerns and/or challenges to DON and Nursing Home Administrator.
- Provide initial and ongoing training to supervised staff.
- Ensure timely and accurate completion of all clinical scheduling and time sheets.
- Ensure, through the scheduling process, that the Home is staffed to budget and/or does not fall below federal and state staffing requirements.
- Improve departmental processes as needed and as assigned.
- Develop and maintain a strong working knowledge of SFCJL's employee scheduling and payroll software.
- Follow up with staff Unit Managers or Supervisors regarding authorized and unauthorized overtime, PTO and other time off requests.
- Maintain the Nursing Department staff directory, ensuring that telephone numbers, addresses, and names of current employees are up to date.
- Collaborate with Human Resources and DON to ensure that all open positions are communicated to Human Resources, maintaining an accurate list of staff on leave is maintained.
- Partner with the IT Department to manage through all updates/upgrades specific to the payroll and scheduling software.
- When needed, prepare reports, presentations, and dashboards related to scheduling and clinical payroll.
- Ensure that time and attendance and other applicable policies and procedures are kept current and accurate.
- Ensure adherence to applicable regulations/laws, and ensure best practices are adopted and followed.
- Perform other duties as assigned.
Scheduling/Payroll Functions:
- Review schedule and work with Payroll Clerk to reconcile payroll discrepancies.
- Work with Payroll Clerk on following up missing punches with staff.
- Track leave time, such as vacation, PTO, leave of absence, medical leave, employees on non-workers' compensation, and workers' compensation to ensure that it is reflected on both the daily and monthly OnShift schedule.
- Develop constructive and cooperative working relationships with staff.
- Prepare the daily schedule for Unit Managers to review and update monthly schedule staffing changes in real time.
- Schedule replacements for nursing staff based on union CBA protocols.
- Perform other duties as assigned.
Qualifications: - High school diploma or equivalent.
- Experience in managing/supervising paid staff required.
- Demonstrated proficiency with MS Office, including Outlook, Word, and Excel.
- Demonstrated high level of interpersonal skills to handle sensitive and confidential situations.
- Demonstrated ability to build rapport quickly with peers and customers.
