Overview

We're seeking a detail-oriented and proactive Support Specialist to help manage the operations of new business processing and client service within our investment and insurance divisions. This individual will play a critical role in keeping our systems, client data, and communications running smoothly, efficiently, and professionally.

Primary Responsibilities

  • New Business Processing
  • Submit new applications (financial plans, insurance and investments) accurately and in good order (IGO)
  • Complete forms and request signatures through digital platforms
  • Track pending cases and follow up with vendors and clients
  • Schedule insurance exams and handle related communications
  • Confirm client transfers and investment allocations have posted correctly
  • Client Service
  • Respond and follow up expediently to client inquiries (distributions, beneficiary changes, address updates, RMDs, etc.)
  • Coordinate delivery of tax forms and statements as needed
  • Run review reports for periodic client review meetings
  • Run in-force insurance policy reports
  • Document client interactions in CRM and maintain organized electronic files
  • Serve as a first point of contact for basic technical inquiries from clients regarding our client portal, document sharing, and other firm technologies
  • Scheduling
  • Proactively coordinate client review appointments
  • Respond to other scheduling requests for the financial advisor
  • CRM & Data Management
  • Enter and maintain client records and business tasks in proprietary CRM
  • Monitor and update tasks and workflows for team accountability
  • Maintain tracking workflows for new business (business submitted, pending, next steps, etc.)
  • Save documentation to client folders
  • General Administration - light assistance with mail, phones and document management

Key Outcomes & Expectations

  • New business applications submitted In Good Order
  • Application follow-up and tracking completed within 2 business days
  • CRM entries and task updates completed within 24 hours
  • Year-end service goals (e.g., RMDs, tax delivery) executed by Q4 deadline
  • Contribute to streamlined processes and an excellent team environment

Qualifications

  • 5+ years in financial services
  • Strong attention to detail and organizational skills
  • Professional written and verbal communication
  • Proficient in Microsoft Office Suite and CRM tools
  • Ability to prioritize and meet deadlines in a fast-paced setting
