Client Services Specialist/Paraplanner
Do you have a keen eye for detail and enjoy helping clients to find solutions and plan for their future? Are you up for the challenge to develop your skills in paraplanning while learning the nuances of financial and insurance planning? We are looking for a Client Services Specialist/Paraplanner who will excel in administrative and paraplanning duties and is eager to learn and grow their career in a tightly knit team based in San Diego. The ideal candidate will work closely with the CEO, gain skills and knowledge in supporting clients and takes pride in their work.

You can develop rapport on the phone with clients with different styles and are able to make them feel understood while motivating them to take the necessary actions to drive projects forward.
ESSENTIAL DUTIES MAY INCLUDE:
In the first 30 - 40 days and ongoing:
- Meets employees, current clients, top 2-3 external attorneys, CPAs and property & casualty insurance agents, with whom Living Legacy collaborates.
- Familiarizes self with Living Legacy's processes and procedures, location of standard operating procedures (SOP), trackers, and software, and learns how to efficiently review and update them.
- Updates electronic logbooks, CRM, LBS, Property & casualty Insurance Tracker, Financial Planning tracker, and One Drive with all client communication, documents, and receipts accurately and in a timely manner.
- Learns the investment and insurance application process by shadowing the Administrative Manager (AM), roleplaying, and asking clarifying questions that show understanding.
- Shadows CEO or Administrative Manager in client communications, asks questions on wording and the correct way to answer/respond to frequently asked questions.
- Attends meetings with clients and the CEO, takes notes and provides all team members with copy of notes and action items outlined in the meeting with review from CEO.
- By 40 days, has mastered note taking by reviewing CEO redlines/edits to notes and action items.
- By 40 days, reaches out to clients for action items checklist created in the client meeting with CEO.
By the 90-day mark and ongoing:
- Has completed basic investment/insurance applications with CEO / Administrative Manager review.
- Proficient with client communication 50% of the time. Answers routine questions trained in previously.
- Shows proficiency in using the CRM and shows ability to navigate the system with ease. Looks for ways to improve efficiency of processes through research and best practices.
- Prepares reports and software tools used for client meetings & presentations with minimal corrections.
- Ensures accuracy in money transfers and records and tracks clients' transfers. Saves receipts and business-related expenses, labels documents correctly & clearly organizes in folder for bookkeeper.
- Reads and reviews SOP for budget and cash flow statements, shadows CEO and asks clarifying questions that demonstrate understanding.
- At 4 months, interprets a budget or a cash flow statement adeptly.
By the 6th month mark and ongoing:
- Shows proficiency with client communications 70% of the time. Answers routine questions trained in previously with accuracy.
- Knows what information is in each document to independently answer administrative questions. Is aware of what information is not available and when to ask for help.
- Updates and maintains business tracking tools around financial plan with review from CEO.
- Accurately completes basic investment and insurance applications with little to no review.
- Prepares Required Minimum Distribution (RMD) report, initiates submittals, and ensures completion for client's investments.
By the 12th month mark and ongoing:
- Shows proficiency with client communication 90% of the time. Answers routine questions trained in previously and is able to find answers to new questions through research and looking in Living Legacy's SOPs.
- Is relatively independent in role while still asking questions on complicated cases and has an open mind to learn and grow and expand skills.
- Has identified holes in SOPs and has created new/ has edited existing SOPs to maximize efficiencies.
- Creates annual summary of accomplishments with review from the Administrative Manager for top clients by collecting all client interactions, services conducted, and all behind the scenes actions taken on the client's behalf throughout the year.
EDUCATION, SKILLS & EXPERIENCE:
- Minimum 2 year degree required, Bachelor's degree in Finance, Financial Planning, Business, Insurance, Accounting, or Real Estate preferred.
- Financial paraplanner Qualified Professional (FPQP) a plus.
- 1+ year demonstrated Administrative experience preferred.
- 1+ year Administrative position in Financial planning a plus.
- Licensed in Series 7, Series 6, Series 66, or Life and Disability insurance a plus.
- Ability to pass a securities related background check required.
- Demonstrated expertise in troubleshooting basic technology problems required.
- Demonstrated experience with investment software, client-facing management systems, email marketing systems, and/or investment analysis software a plus.
- Intermediate knowledge of Microsoft Windows and Microsoft Office required.
