The Client Services Coordinator plays an important role in fostering firm relations, acting as the first point of contact for clients and visitors while cultivating a professional and welcoming atmosphere. The role encompasses managing all front desk operations and providing administrative assistance to the office.

What you'll do:

Front Desk Management:

Be the Face of Our Firm: Greet clients and visitors with a warm and professional demeanor, offering assistance when needed.

Communications: Manage all incoming calls to our switchboard, ensuring seamless communication within the firm.

Visitor Coordination: Correspond with building security to welcome upcoming visitors to the firm.

Meeting Support: Assist with ordering food and beverage services for firm meetings and external guests.

Client-Attorney Liaison: Act as a vital liaison between clients and attorneys, providing clerical and administrative support to visiting attorneys when needed.

Invoice Management: Handle invoices and expenses related to administrative tasks. Versatile Support: Take on various administrative duties as assigned by People Operations.

Facilities Duties: Work alongside the Operations Manager and Facilities Department to ensure Facilities needs are handled timely and appropriately.

You should have:

  • Proven experience in a customer service or administrative role, preferably in a professional services environment.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Strong problem-solving skills and ability to pivot with challenges.
  • Commitment to maintaining the confidentiality of sensitive client and firm information.
  • Ability to collaborate effectively with colleagues across all departments and contribute to a positive working environment.
  • Two or more years of related experience and/or training in general office procedures. Prior law firm experience helpful.
