Crow Estate Planning & Probate, PLC is a reputable and fast-growing estate planning law firm with multiple offices in Tennessee and Kentucky. Our mission is to provide our clients with exceptional legal services in the areas of estate planning, probate, conservatorships, and business planning. We currently have 20 employees, including 9 attorneys.


About the Position

The Client Services Operator plays a critical role in client communication and internal coordination. You will answer incoming calls, determine the nature of the inquiry, and efficiently route the call to the appropriate attorney, paralegal, or staff member. This role requires excellent communication skills, strong judgment, and the ability to handle sensitive matters with discretion. Please note this is a remote position. We will provide you all the equipment necessary to perform your job.


NOTE: Because this is a receptionist position, please be aware of how well you communicate is a determinative factor in hiring for this position.


Responsibilities for this Position


  • Answer all incoming calls professionally and courteously.
  • Triage calls to determine client status (new or existing), urgency, and appropriate routing.
  • Use the firm's CRM and task management systems to log and manage call activity.
  • Coordinate with intake, attorneys, and support staff to ensure seamless communication.
  • Handle voicemails and follow up on missed calls to maintain a high level of responsiveness.
  • Assist with basic client communication tasks (e.g., confirming appointments, resending intake links).
  • Escalate urgent issues to attorneys or managers as needed.
  • Maintain a calm and helpful demeanor even in high-pressure or emotionally charged situations.

Desired Attributes


  • Prior experience in a receptionist, call center, or front desk role (legal or professional services preferred).
  • Strong verbal communication and interpersonal skills.
  • Ability to multitask and manage multiple phone lines.
  • Familiarity with CRM systems (experience with Pipedrive a plus).
  • Organized, dependable, and committed to excellent client service.
  • Discretion and professionalism in handling confidential information.

Qualifications


  • Experience in a law firm or legal services environment.
  • Basic understanding of legal terminology (especially estate planning and probate).

Compensation
