Client Services & Operations Specialist - Private Wealth

While traditional allocations to stocks, bonds and real estate are necessary to form a well-diversified portfolio, we believe alternative investments should be incorporated to deliver a sound investment strategy. Adding alternative investments, paired with thorough due diligence and research, can help provide proper diversification to insulate against market volatility.


The Department

The Client Services & Operations Team is responsible for providing client integration, account opening support and coordinating support with research, trading, and investment reporting, and reporting activities of the firm. The Client Service & Operations Specialist core mission is to ensure a smoothly operating environment and deliver high-quality client service to both internal and external customers.


The Client Service & Operations Specialist purpose:

  • Ensure outstanding service and customer satisfaction.
  • Develop scalable processes and procedures to support company growth and maximize efficiency.

The Client Service & Operations Specialist responsibilities include:

  • Communicate with advisors to ensure that client service standards are met, apportioning workload, and continuously adjusting priorities and timelines to meet time constraints and deadlines.
  • Assist in client onboarding and associated paperwork processing on multiple platforms.
  • Monitor client account activity, facilitate client funds transfers, confirm accounts allocated, generate, and reconcile quarterly performance reporting.
  • Coordinate with Compliance on applicable matters, such as recordkeeping, and periodic testing of applicable policies and procedures (i.e., advisory contracts, client billing and reporting).
  • Management of multiple Outlook calendars for a variety of advisors, assist with coordination of meetings.

Your qualifications

Required:

  • Able to coalesce Client Services and Operations so that the company experiences superior customer service
  • Multi-tasker and flexible: Able to manage multiple tasks and projects simultaneously in a fast-paced environment, and adjust priorities for self and staff as needed
  • Experience working with major custodians such as Schwab and/or Fidelity
  • Effective organizational, time management, resolution, and prioritization skills
  • Excellent interpersonal skills and a customer service approach to problem solving
  • Adept at process development, refinement, and optimization
  • Strong problem solving, analytical, and project management skills
  • Excellent written and oral communication skills
  • Proficiency with Microsoft Excel and other Microsoft Office products
  • At least 3 years of experience in the financial services industry, preferably serving ultra-high-net-worth clients
  • Deep understanding of financial services, including investment management, estate planning, and complex wealth structuring
  • Bachelor's Degree

Desired:

  • Experience with Black Diamond, Salesforce, and iCapital Portal
  • Understanding of alternative investment subscription documents and private placement memorandums
  • Experience at a Registered Investment Adviser (RIA) firm
  • Demonstrated ability to provide white-glove service to ultra-high-net-worth clients

Job Type: Full-time


Salary: $80,000.00 - $95,000.00 per year

Education:

  • Bachelor's (Preferred)

Experience:

  • Financial services industry: 3 years (Preferred)
  • Registered Investment Adviser Firm: 2 years (Preferred)
  • Worked with ultra-high-net-worth clients, in excess of $15M: 3 years (Preferred)
