Job description

Applebrook Inn Veterinary Center and Pet Resort is a full service animal care facility located on almost 10 acres in beautiful West Chester, Pennsylvania offering veterinary care, boarding, grooming, daycare and training services. We are looking for the right candidate to join our fast growing facility.

The Client Care Specialists primary duty is interacting with clients and coordinating communication between doctors, technicians, and the clients. Candidate must possess good critical thinking and problem solving skills, compassion, a positive attitude, follow-through and excellent communication and teamwork skills. Some night and weekend hours required.

Responsibilities include, but are not limited to:

Answer phone calls in a professional manner

Triage communication based on importance

Medical data entry

Schedule all appointments for both the veterinary center and pet resort

Effectively manage client flow from check in to check out

Verify up to date client and patient information (i.e. vaccine records)

Communication with clients regarding delays, and overall health and welfare of pets staying on property

Work patiently with potentially distressed, frustrated or disgruntled clients in difficult situations

Process payments and manage end of day procedures to reconcile discrepancies

Assist in cleaning the hospital including but not limited to: keeping reception desk area and lobby clean and sanitary, taking out the trash and recycling, cleaning floors, bathrooms, exam rooms, kitchen and kennels if needed.

Requirements

Basic computer skills sufficient to operate Windows and practice management systems

Knowledge of veterinary procedures and terminologies is a must

Must be able to carry 50lbs

Passionate about animals

Ability to relate with clients in a friendly, professional manner

Excellent phone etiquette

Exercise patience with clients

Exceptional organizational skills

Customer Service: 1 year (Required)

Receptionist Experience: 1 year (Required)

Veterinary Reception Experience (Preferred)

Job Duties:
  • Answer incoming customer inquiries
Record customer information within our customer service database

Engage with clients in a friendly and professional manner while actively listening to their concerns

Offer support and solutions to customers in accordance with the company's customer service policies
