Position Overview: The Client Service Representative is responsible for providing efficient and professional phone coverage and communications with clients, as well as general administrative support to the team on general tasks, short and long-term projects, and internal workflows. This position is additionally responsible for external client communication through mailing, electronic correspondence, and answering phones

Work Arrangement: This is a full-time position that reports to our office located in Hamden, CT. Remote/hybrid opportunities may be available.

Professional Responsibilities:
  • Provide effective administrative and clerical support in support of client and prospective client needs in a timely manner while prioritizing work appropriately.
  • Respond to main phone line, directing callers, taking messages, and forwarding communications while creating a positive experience for the caller and efficiently directing inquiries to the appropriate individual internally.
  • Perform general data entry work, including entering confidential data into applicable systems with great attention to detail.
  • Receive, sort, and handle incoming mail appropriately, getting all mail to the intended recipient in a timely manner.
  • Efficiently and accurately prepare miscellaneous reports, documents, quotes, proposals, letters, mailings, newsletters, presentation binders, PowerPoints, notifications, etc.
  • Manage multiple tasks and projects while utilizing effective time management and prioritization skills to ensure all tasks are accomplished in a timely manner.
  • Productively collaborate on agency projects and initiatives, providing general administrative and organizational support with excellent follow up.
Qualifications and Requirements:
  • Experience with organization and administrative work.
  • High School Diploma/GED.
  • Personal Lines Insurance Producer license (or willingness to obtain licensure within six months from date of hire).
  • Excellent communication skills, both written and verbal, to convey information clearly and transparently.
  • Strong organizational skills, with the ability to prioritize tasks and manage daily responsibilities effectively.
  • Display a high level of attention to detail when entering data and reviewing documents to avoid errors and ensure data integrity.
  • Ability to work effectively in a team environment and collaborate with team members and other departments.
  • Exceptional problem-solving skills, combined with a persistent approach to achieving successful resolutions.
  • Provide empathetic and supportive assistance to clients and visitors by being responsive to needs and creating a positive experience at the front desk.
  • Familiarity and proficiency in using relevant software applications, Microsoft Office Suite, and other tools used for email and data entry.
  • Adhere to ethical standards and maintain confidentiality when handling sensitive employee and client information.
