With a boutique approach, they accept a limited number of new clients each year, providing tailored, objective advice. They are seeking a hospitality-minded, organized professional with strong administrative and client service skills to support their advisors and enhance the client experience.
Job Overview: The Client Service & Office Coordinator plays a dual role in providing both administrative support and a welcoming, client-focused environment. This individual will manage daily office operations, coordinate client interactions, and ensure a seamless experience for both clients and advisors. The ideal candidate is personable, proactive, and detail-oriented, with a natural ability to build rapport and anticipate needs.
Responsibilities: - Greet clients and visitors with warmth and professionalism, creating a welcoming environment.
- Manage inbound client calls, schedule appointments, and prepare materials for meetings.
- Maintain accurate and up-to-date client records in CRM systems.
- Support account operations including new accounts, transfers, distributions, and maintenance.
- Conduct proactive outreach to clients regarding time-sensitive activities (e.g., RMDs).
- Educate clients on digital tools such as eSignature, paperless statements, and client portals.
- Coordinate with internal departments to ensure timely and accurate service delivery.
- Manage office supplies, refreshments, and general administrative tasks to support daily operations.

Requirements: - 2+ years of administrative or client service experience, preferably in a professional office setting.
Preferences: - Series 66 and Series 7 license
- Bachelor's degree; preferably in Business, Accounting or Finance
- Experience working with Financial Advisors, Branch and Home Office support teams
- Proven ability to manage multiple projects independently and efficiently.
- Strong verbal and written communication skills; able to explain complex information clearly.
- Highly organized with attention to detail and strong problem-solving abilities.
- Personable and emotionally intelligent; able to build trust and rapport quickly.
- Proficiency in Microsoft Office Suite and CRM systems.
- Demonstrates initiative, motivation, and a positive attitude
Pay Range: $25.10-$41.83/hour
Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
