At TalentWealth Recruiting we assist independent Wealth Management firms across the country in hiring top professionals to join their practices. Our client in Austin, TX, is an RIA managing over 6 billion in client assets and is looking for a proactive and detail-oriented Client Services Associate to support their financial planning team. The ideal candidate will play a critical role in client communication, meeting coordination, operational support, and data management.
Essential Duties and Responsibilities:- Client Communication & Support:
- Respond to client emails using Outlook (access provided).
- Triage and respond to routine client inquiries via email or phone.
- Act as a liaison between clients and the Senior Financial Planner for non-strategy-related matters.
- Address service requests such as beneficiary changes, address updates, and fund transfers.
- Meet with clients to handle non-strategy, service-related conversations.
- Meeting & Workflow Management:
- Take detailed notes during client meetings and handle all follow-up tasks.
- Enter cases for the Operations team and send clients their post-meeting action items.
- Coordinate and prepare agendas, Zoom links, and printed materials for meetings.
- Assist with triaging meetings based on the Senior Planner's preferences.
- Compliance & Website Support:
- Submit required documents and materials to Compliance.
- Assist with posting and maintaining approved content on the company website.
- Financial Planning Support:
- Assist in gathering data and documents necessary for creating or updating financial plans.
- Enter and maintain client data in financial planning software such as eMoney or MoneyGuidePro.
- Generate reports such as performance and holdings from financial or custodian platforms.
- Assist with posting and maintaining approved content on the company website.
- Internal Operations & Training:
- Help create training materials to improve onboarding processes for Operations and Financial Planning team members.
Qualifications:- Bachelor's degree in finance, business administration, or a related field preferred.
- Must obtain FINRA Series 6 and Series 66 licenses within 3 months of hire.
- Experience in financial services or a client-facing administrative role preferred.
- Strong proficiency in Microsoft Outlook and general office software.
- Familiarity with financial planning software (e.g., eMoney, MoneyGuidePro) is a plus.
- Excellent verbal and written communication skills.
- High level of organization, attention to detail, and the ability to multitask.
