Description

Our partner, BrightLife Wealth , is seeking a polished, professional, and enthusiastic Client Service Associate to join their growing team. More than just an administrative role, this person will seek to create operational efficiencies within the independent financial practice. This is a critical role that blends exceptional client service with operational excellence. The ideal candidate is a warm, engaging self-starter with strong attention to detail, a positive attitude, and a commitment to delivering white-glove service to our clients. The position also requires attention to detail, excellent communication skills and strong organizational ability.

In this role, you will connect with clients and develop relationships as they navigate wealth management. This is a full-time, in-office position with the potential for hybrid work up to two days per week based on the needs of the firm.

Responsibilities

Client Experience & Service:
  • Serve as the first point of contact for all client interactions - in person, over the phone, and via email
  • Provide white-glove service to clients upon arrival and throughout their experience
  • Answer and manage all incoming calls with professionalism and warmth
  • Assist with scheduling client meetings and managing appointment calendars
  • Support client events by attending, preparing materials, and handling logistics
Administrative & Office Management:
  • Maintain and manage digital client files with precision and confidentiality
  • Process new account paperwork and service-related documentation
  • Coordinate internal tasks and workflows to ensure timely completion of client service items
  • Delegate managerial and administrative tasks effectively across the office
  • Manage the day-to-day operations of the office to ensure it runs smoothly
Team Support:
  • Support advisor and paraplanner with daily tasks and strategic initiatives
  • Set and track team tasks to promote efficiency and accountability
  • Serve as the office liason to ensure communication and priorities are aligned across team members

Requirements

Qualifications:
  • Prior experience in a financial services or wealth management office strongly preferred
  • SIE (Securities Industry Essentials) certification is a plus
  • Excellent organizational and multitasking abilities
  • Exceptional interpersonal and communication skills, both written and verbal
  • Strong attention to detail and a high level of accuracy
  • Proficient with Microsoft Office and CRM systems (Redtail, Salesforce, or similar platforms)
  • Warm, professional demeanor with a proactive and collaborative approach
  • Strong work ethic and ability to work independently with minimal supervision
This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
