Executive Assistant experience supporting a C-suite executive is a plus, as this role requires discretion, organization, and the ability to manage high-level scheduling and administrative tasks with professionalism.


Key Responsibilities:

Concierge-Level Client Experience

  • Greet clients by name with a warm, polished, and professional demeanor.
  • Provide a concierge-style welcome with custom beverages, plush blankets, and post-treatment essentials.
  • Anticipate client needs, ensuring their visit is smooth, relaxing, and effortless.
  • Ensure all patient information is accurate and up-to-date with each visit
  • Coordinate VIP and high-profile guest experiences with discretion and personalized care.
  • Educate clients about treatments, pricing and expected results in a way that aligns with Juliana Clinics' philosophy.

Reception and Scheduling Duties

  • Manage complex scheduling for client treatments, high-profile appointments, and provider availability.
  • Utilize BLVD software to book treatments, manage waitlists, and oversee client records.
  • Maintain direct communication with providers to optimize daily schedules.
  • Assist in preparing treatment rooms, ensuring they are fully stocked and beautifully maintained.

Patient Coordination and Administrative Support

  • Guide clients through their consultation process, ensuring all medical forms and consent documents are completed accurately.
  • Maintain ongoing patient service relationships ensuring all client questions and concerns are met promptly
  • Educate clients on post-treatment care and assist with retail product recommendations.
  • Process payments and maintain accurate client records.
  • Act as a liaison between management and staff, handling administrative tasks and supporting executive-level operations as needed.

Luxury Ambiance & Brand Representation

  • Maintain the pristine aesthetic of the clinic-ensuring fresh floral arrangements, immaculate waiting areas, and a soothing ambiance.
  • Uphold Juliana Clinics' philosophy of personalized detailed care in every client interaction.
  • Act as a brand ambassador, providing detailed knowledge of treatments, skincare, and clinic offerings.

Job Requirements:

Bachelor's degree required.

Minimum of 2 years of administrative experience in a high-end hospitality, executive assistant, or med spa setting.

Superior interpersonal and communication skills-you make every client feel valued and understood.

Attentive to detail, ensuring accuracy in scheduling, patient records, and daily clinic operations.

Discreet and professional, maintaining confidentiality for VIP clients and high-profile guests.

Proactive problem solver-you anticipate client needs and act before issues arise.

Highly organized and tech-savvy, experience in scheduling software (BLVD or similar) a plus.

Aesthetics and skincare enthusiast, eager to contribute to a premier medical aesthetics practice.
