We are looking for an experienced receptionist to join our team and work at our newly opened flagship clinic on a fixed-term basis.

You will work alongside an expanding clinical team and will be responsible for supporting clients locally, assisting with administration tasks, and managing patients' bookings.

The position will act as an initial point of contact, so the applicant should be professional, friendly, and possess a good telephone manner and exceptional customer service skills.

KEY RESPONSIBILITIES
  1. Meet and greet clients in a warm, friendly, and professional manner, and direct them to the waiting area or to the appropriate personnel.
  2. Ensure high standards of cleanliness are maintained throughout the clinic and manage the general upkeep of the reception area, office, and consultation rooms.
  3. Be responsible for opening and closing the clinic.
  4. Answer, screen, and direct telephone calls; take and communicate accurate messages.
  5. Handle enquiries from existing and prospective clients diligently.
  6. Manage incoming patient referrals from various sources efficiently.
  7. Coordinate patient appointments across multiple clinic locations and support clinical staff with their diaries and administrative duties.
  8. Develop in-depth service knowledge and provide information about services to clients.
  9. Maintain accurate and up-to-date client records, billing details, and appointments using the company's practice management software.
  10. Support Regional Clinical Teams with their patient caseloads to ensure a smooth client journey.
  11. Assist the Operations team in daily business operations, including liaising with suppliers and outsourced departments as needed.
  12. Undertake fire warden training to ensure clinic safety and compliance.
REQUIRED EXPERIENCE / QUALIFICATIONS
  • Exceptional customer service skills with a proven track record of exceeding expectations.
  • Polite and confident telephone manner.
  • A proactive 'can do' attitude.
  • Proficiency in Excel, Word, Outlook, and experience with practice management software or client databases.
  • Excellent verbal and written communication skills.
  • Ability to work independently and take initiative without constant supervision.
  • Capability to work both as part of a team and independently, including out-of-hours when necessary.
  • Calmness under pressure and maintaining professionalism at all times.
  • Experience or knowledge of the healthcare or medical industry is desirable.
