Definition of Class This position involves moderately complex clerical work involving the typing, word processing and processing of documents in a variety of functions. These can include but are not limited to verifying information, performing calculations, coding, filling out (and assisting the public with) government forms, skilled typing (word processing) of correspondence, reports, transmittals and memos. This position may perform secretarial services for other individuals, operate office machinery, and provide training to others when needed. The ability to work independently is important. Nature of Work Processes letters, reports, contracts, transactions and transmittals regularly, proofreads various materials, orders supplies, equipment and services as needed, handles departmental mail. Duties & Responsibilities Serve as receptionist for Drug & Alcohol Case Management program. Receive and channel telephone calls, maintaining messages as needed. Assist with sorting and distribution of incoming mail, fax and correspondence to appropriate staff. Operate necessary equipment (copy machine, fax, postage machine and personal computer). Type, proofread and distribute all correspondence, reports, etc., related to Drug and Alcohol Program. Deliver and pick-up materials and correspondence from the Department of Human Services and Courthouse as needed, and drop off evening mail daily to postal service. Monitor office supply needs for case management and re-order. Maintain and update forms used for case management activities. Maintain and update general office files and information systems following established policies and procedures. Review client data for accuracy. Attend position-related training and meetings. Back-up for pickup and distribution of payroll checks for Case Management Support Unit staff. Check client Medical Assistance and Community Care Behavioral Health eligibility. Perform other duties as properly assigned by a supervisor or other staff in line of authority. Knowledge, Skills, & Abilities Knowledge of grammar, spelling and punctuation to handle departmental correspondence (both create and read), knowledge of standard office machinery and ability to understand and follow oral and written instructions. The ability to make work-related decisions on defined standards and precedents, organize assignments, develop effective work methods, and instruct and advise other clerical employees. Minimum Requirements High School Diploma or GED with Business Curriculum, and 1 year General Clerical Experience Supervision Received Work is assigned and reviewed in a variety of ways. Assignments may be given in writing or verbally. Priority assignments may be set by the supervisor in some instances, but will generally be the responsibility of the employee. Certain assignments have priority based on predetermined target dates and program policies/procedures. Staff meetings are used to monitor progress on work completion. Nearly daily interfacing occurs. Review of completed assignments will be ongoing. The evaluation process is used to summarize overall performance. Conditions Of Employment Required to provide and are subject to Pennsylvania criminal and child abuse clearances as well as an FBI fingerprint clearance.
