Job Overview

The Clerk III Data will perform a variety of grade-based support tasks. This position involves specialized skills and handling highly confidential materials. Incumbent will make work decisions in accordance with established precedents and departmental policies; however, incumbents at this clerical level may perform tasks and make more independent work-related decisions based on office and/or system-wide policies.

Position Description

Essential Duties and Responsibilities

Grade Reporting
  • Responsible for all areas of grade reporting (progress reports, 9 weeks, semester, transfer grades, incomplete/missing grades, new button, identify potential duplicate grades)
  • Support campuses in updating gradebook names with long term subs
  • Support teachers with the "new button" indictor in gradebooks
  • Retrieve and verify grades and other student data by running data mining reports and custom reports according to assigned schedules and checklist -provided by SIS department, or as requested to verify student information in Skyward is accurate
  • Post progress reports and report cards online in Skyward
  • Assist administrator with approval and declining of grade changes
  • Provide campus principal with data mining and custom reports for grade verification and clean-up each grading period
  • Support campuses with training all new teachers in Skyward and ensuring all teachers are trained on skyward updates
  • Work with campus personnel to ensure missing grades, no grades and incomplete grades are completed prior to next grading period
Enrollment and Student Data Support
  • Assist with enrollment process as a backup for processing and inputting all student registrations when needed
  • Support registrar's office in parent communication when needed
  • Assist the campus with input of student data into Skyward, student verification process
  • Support registrar's office with renewal of Dual Residence and Power of Attorney documentation
  • Participate and attend all PEIMS, Skyward and other software-based trainings, sessions, open labs to increase job-based knowledge to ensure high percentage of data correctness on campus
PEIMS Support
  • Provide campus principal with data mining and custom reports for grade verification and clean-up each grading period
  • Verify PEIMS according to standard procedures and facilitate Data Verification on campus each 6 weeks
  • Support the PEIMS Specialists by running Data Verification reports for academic performance purposes
  • Responsible for coding all At-Risk Students
Campus Administration Support
  • Create and maintain activity lists as requested by campus personnel
  • Support the campus master schedule builder
  • Create all reports upon request from administrative staff
  • Interface with students, staff, families, and community regularly, provide positive supportive customer services

  • High School diploma or GED
  • Excellent computer skills (Microsoft Word and Excel)
  • Proficient in all general office skills such as data entry and filing
  • Must be highly organized and detail oriented
  • Ability to communicate effectively, both orally and in writing

The employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. Attendance at conferences and professional development is required. Work involves everyday risks and discomforts which require normal safety precautions when operating equipment or performing job duties. May work prolonged or irregular hours and must be able to maintain emotional control under stress.

  • Some assignments involve contact with disruptive students and irate parents, and/or involve exposure to normal, everyday risks involved in contact with children and young adults.
