Our selected Clerical Assistant will serve as a key member to our busy New Jersey Staff Legal law office. The Clerical Assistant will be responsible for assisting 4-5 Tort Attorneys and staff with day to day clerical duties. The primary focus of the Clerical Assistant role shall be to communicate with the Attorneys, business partners, courts and opposing counsel regarding litigated matters. Additional responsibilities include: Schedule and/or reschedule of depositions, de bene esse depositions etc. Communicate with clients regarding depositions, trial details and other related items. Support and communicate with Staff Attorneys on trial activity. Schedule and/or reschedule events such as motions, non-binding arbitrations, settlement conferences, case management conferences etc. Manage all data entry into the legal system. Perform scheduling of informal settlement conferences. Facilitate calendaring of court appearances and other court events. Ensure that form letters and templates are used correctly as needed. Collaborate with Attorneys on requests from all offices. Assist with overflow of electronic service mailboxes including all data entry as required by office. Utilize and maintain office equipment and manage electronic files ad hoc. Support large volumes of documents including photocopies upon request. Sort, open, stamp and deliver mail and/or faxes to and from workstations. Process outgoing mail using appropriate equipment and maintain the postage machine. Prepare and assemble document packages which may include office file maintenance or scanning of evidence ad hoc. Provide support for overflow work as needed. Distribute file materials and information as requested. QUALIFICATIONS: High School Diploma is required, a college degree is preferred. Minimum of 3 year of legal administrative support experience and working knowledge of the New Jersey tort court system. Basic knowledge of legal terminology is a plus. Working proficiency with the Microsoft Office Suite: Word, Excel, PowerPoint & Outlook (heavy working knowledge of Outlook is preferred). Demonstrated ability to effectively manage multiple projects. Strong time management skills. Readily able to independently navigate a high- volume environment. Demonstrated efficiency, organizational skills and attention to detail. Ability to work within strict deadlines, set priorities and effectively handle shifting priorities. Eagerness to work with confidential and sensitive information. Demonstrated diplomacy in written and verbal communication. Ability to work with confidential and sensitive information. WHAT ELSE CAN YOU TELL ME? This position is primarily a remote work role with occasional in-office support required during trial preparation. Ideal candidates shall reside within driving proximity to the Morristown, New Jersey Staff Legal office. For full-time, occasional, part-time or remote positions: (1) high speed broadband internet service is required, we do not recommend or support DSL, wireless, Wi-Fi, Hotspots, Fiber without a modem and Satellite; (2) Internet provider supplied modem/router/gateway is hardwired to the Hartford issued computer with an ethernet cable; and (3) minimum upload/download speeds of 5Mbps/30Mbps will be required. Compensation The listed annualized base pay range is primarily based on analysis of similar positions in the external market. Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role. The base pay is just one component of The Hartford's total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition.
