Main Function
The admin is responsible for adhering to the mission statement in planning and preparing for RPC children as well as diligently completing all tasks as assigned by Children's Minister.
Tasks and Responsibilities
- TouchPoint
- Runs weekly reports - attendance reports for RPC Kids and Embrace, 3 weeks missed reports for RPC Kids
- Creates involvements, registration forms, schedules, meetings, check-in, etc. for all RPC Kids programming and events
- Creates rosters for all RPC Kids events and shares with Ministry Leaders as needed
- Manages the monthly promotion process for preschool at both campuses
- Promotes all NextGen (PreK-12th grade) children for Promotion Sunday
- eSpace
- Enters all RPC Kids programming and events into eSpace during yearly calendaring and as needed throughout the year
- Ensures that all rooms, resources, support services, and other facility needs are secured and follows up as needed
- Administrative
- Takes notes during RPC Kids staff meetings and shares with team
- Requests or implements website changes and maintenance for RPC Kids as needed
- Acts as editor for curriculum and other written materials as needed
- Approves and enters background checks and Child Safety Training for entire church
- Creates signage for RPC Kids programming, events, family services, etc.
- Runs monthly birthday reports in TouchPoint and prepares/addresses cards for Ministry Leaders to sign (for both children and volunteers at both campuses)
- Reconciles staff discounts for all RPC Kids events
- Prepares Basics for Kids materials, rosters, and class set-up
- Purchases and prepares baptism gifts for children on 1st and 3rd Sundays of each month
- Volunteers
- Manages the new volunteer process queue for RPC Kids Sunday and Wednesday programming
- Initiates and processes reference checks for new and current volunteers
- Initiates and processes Child Safety Training for new and current volunteers
- Runs monthly reports for background check and Child Safety Training renewals for current volunteers
- Provides volunteer recruitment booth set up and coverage during Say Yes campaign
- Enters notes into TouchPoint for volunteer recruitment
- Purchases the supplies for and creates the new volunteer welcome bags
- Publicity
- Initiates publicity meetings with event owners
- Advises event owners on dates, promotion, registration process, etc.
- Organizes a quarterly planning meeting with all event owners for upcoming events
- Enters publicity requests for RPC Kids
- Acts as point of contact for all publicity requests in Asana
- Manages the approval process for all deliverables from the Creative Team
- Picks up and distributes all promotional deliverables for RPC Kids
- Follows up with the Creative Team when event registration fills or promotional needs change
- Edits and reviews the weekly RPC Reminders email for RPC Kids events
- Sunday Morning Welcome Team Ministry Leader
- Recruits and appoints welcome desk volunteers for both services at Central Campus
- Troubleshoots registration issues at check-in desks and kiosks
- Sends weekly Ministry Leader email with church wide programming, events, and special programming updates
- Ministers to Welcome Team volunteers
Additional Responsibilities
- Attends weekly RPC staff meetings
- Participates in all Level 1-2 Children's Ministry and NextGen events and helps in the preparation of those events
- Acts as a Ministry Leader substitute for RPC Kids Ministry Leaders to attend church or when they are absent
- Works on special projects, as assigned by the Children's Minister
- Reports any needs and issues that may need the attention of the Children's Minister in a timely manner
- Attends yearly Children's Ministry or NextGen retreats or conferences, as able

- Spends time in personal walk with the Lord daily
- Remains above reproach in personal and ministry interactions
- Demonstrates computer literacy, has a working knowledge of Word, PowerPoint and Excel, and is willing to learn the workings of the RPC Kids media stations and check-in system
- Operates as a self-starter
- Remains flexible to meet administrative and Children's Ministry needs
- Desires to build relationships with ministry volunteers and RPC Kids families
- Demonstrates compassion and handles matters with sensitivity and grace

- The Children's Ministry Administrator will work in a team atmosphere reporting to the Children's Minister
