Position Summary:

We are seeking a friendly, organized, and detail-oriented Administrative Assistant to join our team at The Learning Tree. The ideal candidate will serve as the first point of contact for families and visitors, ensuring a warm and professional welcome. This role is crucial in supporting the daily operations of the center, maintaining smooth communication, and managing essential administrative tasks.

Key Responsibilities:

Customer Service & Communication

Greet families, children, and visitors in a friendly and professional manner.

Provide exceptional customer service to parents and caregivers, addressing questions and concerns promptly.

Answer incoming phone calls and route them appropriately.

Respond to emails and other communications in a timely and courteous manner.

Tours & Enrollment Support

Conduct guided tours for prospective families, sharing information about programs, policies, and the center's mission.

Assist with the enrollment process, providing and collecting necessary documentation.

Administrative Duties

Collect, organize, and track required paperwork including registration forms, health records, and enrollment forms.

Maintain up-to-date and accurate records for all enrolled children.

Ensure all files and documents comply with Office of Child Care licensing regulations and center policies.

Office Management

Assist with maintaining a clean, organized, and well-stocked front office area.

Support the center Director and teaching staff with administrative needs as required.

Schedule appointments, meetings, and events as needed.

Qualifications:

High school diploma or equivalent; associate degree or coursework in business or early childhood education is a plus.

Previous experience in an administrative, receptionist, or customer service role (experience in a child care or educational setting preferred).

Strong organizational skills and attention to detail.

Excellent verbal and written communication skills.

Friendly, patient, and professional demeanor.

Proficiency with basic office software (e.g., Microsoft Office, Google Workspace).

Ability to multitask and work in a fast-paced environment.

Work Environment:

Office setting within a vibrant, child-centered environment.

Frequent interaction with children, families, and staff.

Occasional lifting of materials (up to 25 lbs) may be required.
