This full-time position follows a regular Monday through Friday (37.5 hours per week) work schedule with the opportunity to allow a hybrid work schedule consisting of three (3) days in-office work at the Center for Schools and Communities office located in Camp Hill, PA location and two (2) days telework from home and/or approved off-site locations. In addition, face-to-face interaction with clients, meetings and trainings may be required on days deemed as teleworking days. Certain requirements, based upon CSIU telework policy and administrative regulations, must be met. The CSIU has the right to cancel or suspend the employee teleworking privileges at any time, for any or no reason due to the requirement of the CSIU and client needs.
JOB ASSIGNMENT: Center for the Promotion of Social Emotional Learning / I Can Problem Solve (CPSEL/ICPS)
ORGANIZATIONAL RELATIONSHIP: The Center for Schools and Communities Project Specialist reports directly to the Youth Development Program Manager and in their absence, to the Center for Schools and Communities Assistant Director.
JOB DEFINITION:
The Center for Schools and Communities Project Specialist will be responsible for collaborating with program staff on the CPSEL and ICPS initiatives. This individual will work alongside agency staff and provide resources, reports, event planning, technical assistance, and other products related to the contract deliverables contained in the CSC's work statements. This individual will serve as the project lead for large professional development conferences, webinars, trainings, and other instruction. This position is responsible for controlling all aspects of large events and is responsible for contract deliverables and funder goals. Special projects will be assigned as the need arises.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Program Support
• Provide high-level program support for technical assistance to the School Safety field and program staff in CPSEL and ICPS.
• Create professional wording for draft memos, emails, and letters for program support.
• Create charts, minutes, forms, reports, proposals, and other related items for assigned projects.
• Assist with general organization and operation of the Center for Schools and Communities.
• Develop appropriate training for teachers, administrators, and community members to enhance their effectiveness. Collaborate with team members to determine training and technical assistance needs in schools and communities.
• Coordinate the content and logistics of annual statements of work with the program managers.
• Work collaboratively with the funders and CSC staff.
• Coordinate special projects that arise, including the development of publications and presentations, in coordination with the necessary staff.
• Act as project lead for the annual Safe Schools and Social Emotional Learning conferences. Adhere to timelines and procedures for the events.
• Establish and coordinate the conference planning committee; schedule meetings, take notes and build the conference framework and draft agenda.
• Draft the call for presenters for the conference, work with the tech team to develop the submission database. Monitor the presenter submissions, bring submissions to the planning committee and send rejection letters to non-selected presenters.
• Communicate with selected presenters, obtain all documents needed for fiscal operations for presenters receiving compensation, obtain all necessary information regarding the presentation including resumes, workshop titles and descriptions, bios, images, PowerPoints, handouts, and tech needs.
• Work with the CSC cross systems staff to provide support in the planning implementation of additional training, meetings, conferences, and regional workshops.
• Prepare Act 48 documents and other continuing education credits (CEC) for professional development opportunities. Create links for evaluation and Act 48 for event communication. Process CEC documentation post-event.
• Research and order supplies and materials for assigned projects.
• Use good judgement and decision making when planning and implementing new procedures, projects, and events.
• Research, develop and evaluate training needs and development for staff and organizational partners.
• Evaluate presenters on content, delivery, and organizational value. Information Management
• Manage program related data in the Customer Relationship Management (CRM) Develop and maintain address and phone lists of program contacts, school districts, agencies, universities, and others involved in out of school time.
• Responsible for development and upkeep of multiple, complex databases.
• Responsible for generating reports on various programs.
• Maintain collection and filing systems as needed to support assigned programs.
• Input data into various software programs for assigned programs operated through the Center for Schools and Communities.
• Research, create, review, and distribute statewide correspondence and publications. Research and Evaluation
• Complete internet searches and research for the various programs, including new and evolving best practices and resources.
• Analyze research results and present them in a concise and professional manner.
• Responsible for formatting and analysis of survey and evaluation information post conferences.
• Collaborate with team members on the establishment, implementation, and achievement of performance measures for assigned programs.
• Develop and maintain contacts with appropriate Central Susquehanna Intermediate Unit (CSIU) staff, state departments, coalitions, other service agencies, and other related CSIU programs.
• Upon request, attend conference calls, webinars, conferences, state leaders and other meetings regarding quality program implementation.
• Participate in CSC staff meetings and participate in special meetings and/or task force meetings.
• Attend specified conferences and training courses to remain current in the field. OTHER DUTIES AND RESPONSIBILITIES:
• Assist with special projects for the Center for Schools and Communities.
• Other duties as assigned by immediate supervisor or their designee.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
• A Bachelor's degree in education, social services, information sciences or a related field and minimum five (5) years of related paid work experience preferred. Will consider an associate degree and minimum eight (8) years related paid work experience or a High School Diploma/equivalent General Education Diploma (GED) and minimum of 13 years related paid work experience.
• Knowledge of project management methods and techniques to ensure the coordination of internal and external clients and processes to achieve desired outcomes.
• Advanced computer skills required, such as proficiency in FileMaker, Microsoft Word, Excel, Zoom and PowerPoint.
• Advanced skills in Zoom such as setting up registration, adding polling questions, opening the room, creating breakout sessions, and using the Zoom Interpretation feature.
• Ability to work independently and as a team member.
• Ability to complete complex projects in an efficient and effective manner.
• Ability to multitask and prioritize work assignments.
• Ability to develop and maintain positive relationships with colleagues and clients both internal and external.
• Excellent interpersonal skills as well as excellent written and verbal communication and public speaking skills.
• Excellent research skills, utilizing the internet as well as print and other sources. Proficiency in the use of appropriate technology to carry out assigned duties efficiently, as described above.
• Experience in group processes, public relations, and conflict resolution is desirable and the ability to work successfully with diverse people.
• Ability to keep up-to-date technically and apply new knowledge to your job. Includes adapting to and mastering new system applications and processes as implemented. ADDITIONAL ELIGIBILITY QUALIFICATIONS:
• Current, approved Act 34 (PA State Police), Act 151 (PA Child Abuse Registry) and Act 114-FBI Fingerprint clearances are required and must be renewed at appropriate, specific intervals pursuant to Act 153 of 2014 (revised Act 15 of 2015).
• Current, approved Act 126 Mandated Reporter Training certificate showing completion of a minimum of three (3) hours training every five (5) years. PROFESSIONAL DEVELOPMENT REQUIREMENTS:
• Attend all required meetings, and trainings to maintain accurate and current knowledge and skill sets related to programming.
• Attend relevant conferences, trainings, and in-services to maintain and enhance professional development as recommended by the immediate supervisor or required of the position. PHYSICAL REQUIREMENTS:
• Sedentary: Able to sit for extended periods of time, occasional walking, standing (as necessary) and able to lift and carry up to 25 pounds.
• Dexterity: Finger movements (computer keyboard, calculator), eye-hand coordination (office equipment, etc.).
• Audio-Visual Requirements: Within normal range with or without correction.
• Is able to move throughout all buildings, floors and grounds.
