Description of Job

The Division of Parole exists to manage and supervise offenders on a 24 hour per day, seven day per week, 365 day per year basis to provide public safety and opportunities for successful re-entry of offenders returning to the community. Re-entry support services collaborate with this setting. The unit ensures compliance with federal and state statutes, CDOC regulations, Parole Board conditions and agreements, Code of Penal Discipline, community corrections standards, Interstate Compact rules and regulations and other established rules/standards for the supervision of offenders.

The Administrative Assistant III exist to support all activities related to scheduling and coordinating training logistics, ordering VR equipment, tracking statistics, and ensuring that all 200+ sworn parole officers sign up for and receive Crisis Response Training and VR training.

Primary duties and responsibilities of this position include but are not limited to:
•   Provide excellent customer service by directing and/or responding to all stakeholders to include internal and external departments, other state agencies, offender families and the general public;
•   Research information to resolve problems, concerns, errors, and/or complaints;
•   Type, review, file, copy and scan various documents and memos as needed;
•   Maintain a clear, concise and organized filing system electronically or physically;
•   Collect and compile data to generate reports and routinely update reports to reflect current and accurate information;
•   Is solely responsible for, or assists with, tracking the budget expenditures for the assigned area;
•   Make purchases using the state issued Purchasing Card (P-Card);
•   Answer and respond to staff/stakeholder/offender inquiries via phone, facsimile, email or in person;
•   Ensure clear and concise communication with supervisors and staff members within the work unit, various departments and other state agencies;
•   Assist with the supervision of area porters, monitors the assigned area's chemicals, equipment and other security/tool control items as necessary;
•   Ensure supervisor and/or area manager is apprised of accurate budget totals on a regular basis;
•   Keeping track of current, incoming parole officers who need to take the required VR Training;
•   Ensure all parole officers complete this training;
•   Assist in scheduling the locations, rooms, and personnel to attend the training;
•   Ensure all staff are training on the incident reporting training once migrated in eOMIS;
•   Assist with the development of the eOMIS data training;
•   Enter training records in TIS and Benchmark;
•   Ensure that the departmental tableaus for new parole tableau dashboards are accurate;
•   Develop monthly and quarterly metrics to report on parole incidents, crisis response, and outcomes
•   ;Quality assess the data entries for incident reporting by parole region, parole office, and by staff;
•   Develop an internal survey to assess curriculum retention;

Minimum Qualifications:

Three years of general clerical experience in an administrative or office support role.

General clerical duties may include: T he accurate and timely completion and processing of documents and information; data entry; printing; scanning and making copies; scheduling; accepting reservations or registrations; arrange meeting logistics and equipment; reception and intake; record keeping, filing and maintenance; answering multi lines phones and relaying messages; and general administrative tasks in an office support environment.

Substitutions:

College or university course work in Business, Criminal Justice or a similar discipline may substitute for the experience on a year for year basis.

Required Competencies:
•   Established proficiency in position-related office technologies, especially Microsoft Office (Word, Excel and PowerPoint);
•   Ability to work directly with inmates in a prison environment;
•   Accurate and proficient typing skills;
•   Exceptional interpersonal/customer service skills;
•   Excellent written and oral communication skills;
•   Efficient management/input of data and tracking;
