Position SummaryThis recruitment will be used to fill two (2) part-time Student Event Coordinator I positions within the Event Services Unit at Oregon State University-Cascades, located in Bend, Oregon. Student Event Coordinators support the ideation, planning, promotion, execution, and review of campus events and conferences in collaboration with Event Services staff and campus partners. Students will work approximately 15 hours per week during the academic year, with an additional 15 hours of required in-person training during one week in September.
Position Duties - Event Planning Support: Independently and collaboratively plan accessible and inclusive campus events from intake to execution. Tasks may include meeting with clients, drafting room layouts, submitting facilities work orders, developing catering menus, creating event programs, and assembling equipment and supplies lists.
- Event Promotion: Assist with marketing and outreach efforts, including digital and print promotional materials, tabling, posting flyers, and making in-class announcements.
- Event Setup and Breakdown: Help set up and dismantle event furniture, signage, equipment, catering materials, and A/V components.
- Event Support: Provide support during events including guest check-in, customer service, event monitoring, assisting with catering and/or A/V needs, and ensuring spaces remain safe and welcoming.
- Campus Representation: Represent Event Services professionally to event clients, campus partners, and community guests.
- Youth Protection, Food Safety, and Alcohol Compliance Support: Serve as an Authorized Adult when supporting events involving youth participants. Assist with food safety monitoring and alcohol service compliance when applicable to event operations.

- Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
- Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
- Must meet the applicable minimal enrollment standard
- High School student: Regularly enrolled in a high school or participating in a home-schooling program
- Undergraduate and post-baccalaureate student: 6 credit hours per term
- Undergraduate international student: 12 credit hours per term
- Graduate student officially admitted to Graduate School: 5 credit hours per term
- Graduate international student officially admitted to Graduate School: 9 credit hours per term
International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the
Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications - Ability to lift and carry up to 50 lbs.

- Demonstrate intermediate organizational and communication skills.
Preferred (Special) Qualifications - Current full-time OSU-Cascades student or degree partnership student with OSU-Cascades and COCC, with a cumulative GPA of 2.50 or higher.
- One year of relevant on-campus employment.
- Experience in event planning, customer service, or related fields.
- Proficiency in Microsoft Office Suite.
- Proficiency in graphic design tools (Canva, Adobe Creative Cloud, or similar).
- Possess or willingness to obtain OLCC Alcohol Server Permit within 30 days of hire (employer-paid if applicable).
- Possess or willingness to obtain Oregon Food Handler's Card within 30 days of hire (employer-paid if applicable).
- Possess or willingness to obtain Authorized Adult status from OSU's Office of Youth Protection.
Working Conditions / Work ScheduleWorking Conditions/Work Schedule - Part-time, flexible employment based on event schedules and staffing needs.
- Students are expected to attend a weekly team meeting.
- Most work is independently scheduled and performed based on assigned tasks.
- Additional shifts may be posted for students to pick up based on availability and event needs.
- Evening and weekend work may be required depending on event schedules.
- Work involves both physical tasks (lifting, moving, standing) and office tasks (planning, outreach, marketing).
- Work may be performed indoors or outdoors in various weather conditions.
Compensation - $17.80/hour, approximately 15 hours/week.
- T-shirt, knit-pullover, rain jacket, and nametag provided during training.
- Students submit a monthly timesheet for supervisor approval on the 15th of each month and are paid at the end of each month.
Training Provided - Mandatory training on abuse prevention and reporting, information technology security, youth protection, and diversity/inclusion.
- General events management theory online professional development course (to be completed during first term of employment).
