We are looking for a
Business Unit Administrator to partner with Austin market leadership in supporting a growing and vibrant wealth management business. You will work alongside the Sr Managing Director providing daily support and advice in a fast moving and energetic business.
The
Business Unit Administrator will be a main point of contact for clients and visitors, ensuring professional and efficient interactions. Under direct supervision, you will also provide transaction-based service to banking clients, interacting in person, via telephone and email to respond to inquiries and execute various administrative and operational activities related to clients, banking products, and services. This role is key to maintaining an organized office environment and supporting our Austin business with administrative tasks. In addition, this role independently interfaces with clients, board members, key executives, and all levels of employees providing the best experience and appropriate discretion while doing so, based in the Austin, Texas office.
The key responsibilities of the role include:
- Handle incoming phone calls, visitor traffic, handle incoming/outgoing mail, deliveries, and office supply inventory.
- Perform general administrative duties: document preparation, filing, data entry, and reporting management with ongoing monitoring.
- Under supervision, execute and/or submit client banking account servicing requests, including but not limited to account inquiries, fund transfers, preparing documentation, opening and closing accounts, and researching of banking client issues.
- Develops a strong knowledge of the various business applications critical to banking client account servicing, understanding of required steps involved with client requests, and understanding of new or existing products, services, and compliance requirements to address client inquiries and requests.
- Manage conference room schedules, appointments, and meeting logistics including coordination, catering, and parking for visitors.
- Process and review expense reports. Support Partners with travel arrangements, expense tracking, and onboarding tasks.
- Meeting planning and travel arrangements and overall optimization of the office, this includes management of a fluid and dynamic calendar and prioritizing meetings and travel as well as proactive advance scheduling of key meetings.
- Partnership to deliver the highest quality interactions through events and meetings. This includes board meetings, leadership offsites, planning sessions, visits from executives, and client gatherings.
- Act as a strategic partner, helping advise and prioritize competing tasks and high-priority items.

- Knowledge of banking guidelines, banking operations, products and services acquired through related work experience is preferred.
- A bachelor's degree is valued.
