GENERAL RESPONSIBILITIES:

Reports to the Human Resources Supervisor. The Business Support Specialist will perform a variety of administrative, secretarial, and clerical duties to support the day-to-day activities of Empowerment Resource Center and its customers and vendors. The role of the Business Support Specialist is to ensure the delivery of consistent and high-quality customer service and provision of administrative support for operational, programmatic, and clinical activities. The incumbent will play a key role in maintaining organization, supporting staff, and facilitating communication across departments. This position will work independently and with other members of the Human Resources Team to support ERC's internal operations, infrastructure, and perform other duties as assigned.

Duties
  • Ensure smooth day-to-day office operations and maintain a productive work environment.
  • Oversee office maintenance and organization, ensuring all workspaces are clean, functional and well-stocked.
  • Coordinate with the Administrative Team Members and ERC visitors and consumers to ensure customer relation excellence.
  • Answer and route incoming telephone calls to appropriate personnel while maintaining a polite, consistent phone manner using proper telephone etiquette.
  • Retrieve, distribute and process incoming and deliveries to appropriate personnel.
  • Manage office supply inventory and procurement to support operational efficiency.
  • Manage office equipment, ensuring proper maintenance and troubleshooting any issues.
  • Serve as the primary point of contact for all vendors, including office supplies, IT services, cleaning services, and facility maintenance providers.
  • Maintain regular communication with vendors, address service requests, and identify opportunities for improvement.
  • Ensure accuracy of vendor invoices and work with Accounting Department to process payments in a timely manner.
  • Coordinate IT service requests, troubleshooting office equipment, network servers, and VOIP telephone systems in collaboration with external IT providers.
  • Assist with scheduling meeting and monitor the use and maintenance of common visitor areas, conference rooms, training rooms, exhibit materials and property, and A/V equipment.
  • Assist with financial processes, including handling gift cards and financial instruments used to support recruitment efforts for ERC programs and services.
  • Maintain organized and up-to-date business records, including critical incident reports and vehicle maintenance records.
  • Support HR functions by assisting with onboarding and offboarding activities as needed.
  • Protect personnel, assets, information, and infrastructure by maintaining a secure office environment.
  • Implement and enforce security protocols to prevent unauthorized access, theft, or damage.
  • Maintain strict confidentiality of Protected Health Information (PHI) and other sensitive data in accordance with HIPAA guidelines

EMPLOYMENT STANDARDS AND CONDITIONS:

Educational Background & Experience: Completion of some college course with at least 1-2 years of professional administrative or office experience, preferably in a health care setting.

Computer Skills:
  • Microsoft Office & other software: Intermediate to advanced knowledge of Word, Excel, PowerPoint, Publisher, Adobe.

MEDICAL SCREENING:
  • Must successfully pass a pre-employment drug screen and background check
  • Must submit verification of completion of the following current health screenings:
    1. Influenza immunization
    2. Tuberculin Skin Test (TB) within the past 12 months
    3. HBV immunization

STANDARD HOURS: 9am - 6pm.

SALARY RANGE: Salary is contingent upon available funding, and is commensurate with experience and qualifications.

JOB LOCATION: The position is based in the Atlanta metropolitan area and requires the employee to work at the Empowerment Resource Center office.
