Why does the job exist?

The purpose of this position is to provide support to Bureau Management to ensure state and federal rules, grant requirements and guidelines are met for the programmatic operations.

How does it get done?

- Coordinate administrative tasks to support inspection processes per the OHSB Field Operations Manual and OSHA Information System (OIS) requirements.
- Assist Compliance Officers with case file status, citation processing, and abatement evaluations, ensuring accurate and timely entry into OIS.
- Track and process citation contests, support scheduling of administrative reviews, and manage documentation for the Occupational Health and Safety Review Commission (OHSRC).
- Handle citation payments, including logging, transferring, and recording transactions in OIS, while notifying the appropriate financial services.
- Close and archive case files in OIS, maintaining electronic records and databases.
- Support the Bureau's Strategic and Annual Performance Plans through necessary administrative actions for the Compliance and Enforcement Section.
- Assist with implementing administrative policies, procedures, and guidelines at the program level.
- Provide backup support to the OHSB Office and Administrative Support position as needed.
- Maintain and organize electronic files in the file depot.
- Perform other administrative duties as assigned.
- Monitor complaints, referrals, and high-hazard listings to prepare assignments for OHSB Compliance Officers.
- Handle correspondence for programmed and unprogrammed compliance and enforcement activities, including letters of inquiry and follow-ups with employers.
- Maintain and manage complaint and referral files in OIS, file depot, and other systems, ensuring accurate tracking and record-keeping.
- Provide support to the regulated community by notifying employers of pending deadlines and required actions.
- Facilitate file retrieval for follow-up inspections or public information requests, assisting the OHSB records custodian with record preparation and release.

Ideal Candidate

The ideal candidate will have experience in the following:
- Budget
- Accounting
- Auditing
- Purchasing
- Cash management
- Financial management

Minimum Qualification

High School diploma or Equivalency and two (2) years of experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management, and/or contract management. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.

Employment Requirements

Must possess and maintain a valid New Mexico Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course certification.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Some in-state and out-of-state travel may be required.
