Business Operations Coordinator

Cambridge, MA

Position Summary:

The Business Operations Coordinator is a pivotal role designed to support the ONE Oncology Strategy by enhancing the execution and implementation of streamlined processes, ensuring compliance, improving coordination, and achieving cost savings by internalizing key responsibilities. This role will facilitate the effective planning and execution of events, meetings, and congresses, and ensure seamless vendor management and logistical coordination.A successful candidate will leverage their expertise to partner strategically with external and internal stakeholders, including occasional executive leaders, and will mentor junior team members.


Key Responsibilities:

  • Ensure compliance and adherence to processes and policies, including vendor oversight.
  • Incorporate enhancements and process revisions into business process documents and applicable User Guides, identifying areas for improvement and retraining.
  • Provide logistical planning, execution and support for business operations, meetings, events, and congresses.
  • Provide OBU LMS (Learning Management System) support and oversight.
  • Manage engagements in the Global Meeting Management System (CVENT).
  • Serve as the Super User for designated systems, overseeing budget management, SOW, PO processes, administrative tasks (including SharePoint, Teams sites), invoice payments, and budget coordination with business stakeholders.
  • Coordinate internal and external communications, including planning decks and reminders.
  • Coordinate with travel groups to build manifests for congress travel and strategize on efficiencies.
  • Coordinate Healthcare engagement processes to support the implementation of innovative strategies.

Qualifications:

  • Bachelor's degree in Business Administration, Event Management, or equivalent work experience (3-5 years) in business operations, event planning, or a related area.
  • Proficiency in Microsoft 365 productivity tools, CVENT and/or similar Global Meeting Management Systems.
  • Strong knowledge of budget management, invoice processing, and vendor management.
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and creative problem-solving abilities.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and the ability to manage multiple stakeholders.

U.S. Base Salary Range:

$86,500.00 - $135,960.00

The estimated salary range reflects an anticipated range for this position. The actual base salary offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.The actual base salary offered will be in accordance with state or local minimum wage requirements for the job location.


U.S. based employees may be eligible for short-term and/or long-termincentives.
