JOB PURPOSE:

As part of PruittHealth's top initiatives, a new division for Personal Care Services (PCS), PruittHealth (PH) Family First, is being piloted in the metro Atlanta, Georgia market. PH Family First is looking to bring a Business Office Manager (BOM)/Scheduler who be responsible for assisting the Executive Director with administrative functions of the Family First PCS and supervising clerical office staff while ensuring all treatments, services, etc. are scheduled in a timely manner upon acceptance of a patient to the Agency. In this position, you will track and respond to any visit alterations that may occur. The BOM/Scheduler will work closely with Care Management and other peers as needed for an accurate accounting of visits ordered and provided and to schedule visits to ensure productivity requirements are met.

KEY RESPONSIBILITIES:

• Evaluate office processes and report opportunities for improvement to Executive Director

• Perform data entry functions as needed for efficiency of office operations

• Order supplies as directed by Executive Director and manage supply expenses against budgeted allotment

• Assure coverage for receptionist duties of the office

• Submit accounts payable information and maintain a system to ensure invoices are submitted and paid on a timely basis

• Maintain lines of communication with billing department to ensure paperwork is completed in a timely manner to facilitate proper billing

• Work on billing reports daily to ensure timely filing of claims

• Ensure accuracy of daily census

• Track and maintain personnel files for agency and branch locations

• Provide an accurate, timely and will communicated schedule for all patients upon referral through admission and discharge from the agency

• Participate in agency back office daily operations

• Demonstrate flexibility and use critical thinking skills in addressing frequent changes throughout the day requiring schedule adjustments

• Ensure that field scheduling assignments follow agency standard operating procedures (SOPs)

• Schedule patients that provide and maintains visit productivity for various levels of partners in the agency

• Perform all other duties as assigned by the Executive Director

KNOWLEDGE, SKILLS, ABILITIES:

• Must have access to a vehicle in good working condition

• Computer skills are a must

• While maintaining a pleasant and professional manner, must multi-task and problem solve in an everchanging environment with frequently changing priorities and short deadlines

• Responsible for collection and data entry of payroll information for agency and branch locations

• Excellent interpersonal skills, interact effectively with all agency partners and external customers to meet scheduling needs

• Ability to work a flexible schedule

• Create, maintain, and update patient schedule according to needs

• Maintain clinician availability list and schedule

• Participate in agency surveys (State Licensure) and any subsequently required reports

• Attend and participate in continuing education programs to keep abreast of changes in the field

• Attend mandatory in-services and meetings as assigned

• Follow established safety regulations, including fire protection and prevention, smoking regulations, infection control, etc and comply with corporate compliance program

• Follow established safety procedures when performing tasks and/or working with equipment

• Subject to call-in in a disaster or other emergency situation as directed by agency operations

• Keep Executive Director informed of daily activities and issues and propose solutions to all issues

• Provide clerical support to Executive Director and office management staff as needed

• Perform other related duties as necessary and as directed by Executive Director

MINIMUM EDUCATION REQUIRED:

Two (2) years of college or business school and/or equivalent combination of experience and training. Will consider with only a high school diploma or equivalent

MINIMUM EXPERIENCE REQUIRED:

One (1) year administrative experience in healthcare or similar service industry. On the job training provided.

ADDITIONAL QUALIFICATIONS: (Preferred qualifications)

• Associate's or bachelor's degree in Business or related field preferred

• Three (3) years of previous medical office management experience preferred

• One (1) year of scheduling experience

• One (1) year of PCS operations experience

• In lieu of relevant work experience, applicable college coursework or vocational/technical training may be substituted
