Business Office Manager Assistant. Position: Business Office Manager Assistant In this role, you will support the Business Office Manager and Administrator in the execution of day-to-day administrative, billing, and financial operations. This position plays a key part in ensuring compliance, accuracy, and efficiency across resident billing, records management, and communication with residents and families.
Key Responsibilities: Business Office Support: - Assist in maintaining resident and business office files
- Support resident billing processes and respond to basic billing inquiries
- Help manage and update the ancillary charge worksheet weekly
- Assist with deposit preparation and ensure timely documentation
- Help issue delinquent notices and support collection tracking
- Assist in processing lease renewals and updating contact/POA information
- Maintain confidentiality of financial and resident information
- Track and reconcile petty cash transactions as directed by the Business Office Manager
Daily Administrative Tasks: - Run and save PCC Action Summary reports under guidance
- Update the Rent Roll for admissions and rate changes
- Enter and verify AR tab information in PCC for new admissions
- Upload and log Medicaid authorization documents
- Check and return voicemails; document all communication in PCC
- Support the preparation of deposits and update internal trackers
Routine and Monthly Support Tasks: - Help review the Aging Report and identify missing private payments
- Attend weekly meetings with the Business Office Manager to review balances and authorizations
- Assist with Medicaid authorization tracking and renewal coordination
- Maintain resident trust records and ensure balances match PCC entries
- Support month-end tasks including billing prep, mailing statements, and working with the AR team
Qualifications: - 1-2 years of experience in finance, bookkeeping, accounts receivable, or administrative support (healthcare or senior living preferred)
- Strong attention to detail and organizational skills
- Familiarity with PCC or willingness to learn electronic billing software
- Ability to work independently and collaboratively
- Professional, respectful communication with residents, families, and team members
