Job Title: Business Office Administrative Assistant

Location: Online Education, Orchard Park

Position: Non-exempt

Reports To: Business Office Director

Job Summary :

This position is the initial point of contact for incoming student Business Office calls. In this role, we will assist students with BankMobile excess loan fund and account balance inquiries. This position supports the Business Office Director and Business Office Assistant positions. Position hours are 8am - 5pm four days per week and noon - 9pm one day per week, with six Saturdays per year required. (Additional evenings may be required during training period).

Responsibilities include:
  • Assist students with questions related to their excess loan funds, and understanding their accounts.
  • Coordinate refund process between students and HigherOne to resolve issues.
  • Assist with correspondence to current and former students related to unpaid balances and other matters.
  • Assist with student contact to resolve account or payment issues via phone, letter and/or email.
  • Prepare student statements and invoices.
  • Assist with student account analysis to verify accurate and timely excess loan fund eligibility.
  • Assist with review and analysis of student accounts to update site codes and apply fees.
  • Develop a basic understanding of student financial programs administered by the Financial Aid Office.
  • Support Financial Aid Department Staff with over-lapping student responsibilities.
  • Active participation with balance and aging review to verify timely and accurate disbursement of funds to eligible students.
  • Develop and maintain working relationships with other departments to resolve outstanding issues and achieve enrollment and retention goals.
  • Ensure high level of customer service is maintained when dealing with students and associates.
  • Back up for Business Office Assistant responsibilities.
  • Other functions and responsibilities as assigned.
Qualification and Experience:
  • Associates Degree.
  • Accounting skillset, education or experience.
  • Highly proficient in Microsoft Office, particularly Excel, Word and Outlook.
  • Must be detail oriented with excellent organizational and analytical skills.
  • Must possess excellent customer service and communication skills with ability to interact with a diverse student and staff population.
  • Ability to multi-task while maintaining high degree of accuracy in a fast-paced environment.
  • Must possess prioritizing and problem solving skills.
  • Must be a strong team player.
Salary:

$42,500 per year ($20.43 per hour.)

This position is eligible for overtime.
