Location: This role is located in the Sacramento, CA office and will be required to report in office full-time.

Overview

Provide high-level administrative and strategic support to the Senior Vice President of Business Development, ensuring seamless operations. This role is crucial to the success of the business, facilitating effective communication and coordination across the division. Your contributions will directly impact the efficiency and productivity of the Senior Vice President and the overall business development efforts. Duties and Responsibilities
  • Provides comprehensive administrative support to the Sr. Vice President.
  • Manages calendar on behalf of Sr. Vice President and ensures complete information is available for all matters.
  • Supports in preparing calendar invitations on behalf of the Sr. Vice President.
  • Arranges and coordinates detailed travel itineraries and reservations on behalf of the Sr. Vice President.
  • Compose and prepare confidential correspondence, reports, and other complex documents on behalf of the Sr. Vice President.
  • Acts as custodian of company documents and records.
  • Coordinates and arranges executive meetings, prepares agendas, reserves and prepares facilities and records minutes of meetings.
  • Participates in internal business development meetings on behalf of the Sr. Vice President of and provide detailed summaries of discussions.
  • Collaborates with internal clients and respective teams in documenting plans for capturing new work.
  • Arranges meetings and appointments with client representatives and appropriate internal business developers.
  • Distributes follow-up information to client representatives for placement on consultant lists as necessary.
  • Executes additional duties and responsibilities as assigned.
  • Other duties as assigned.
Requirements

Required:
  • Minimum 5 years progressive and position related work experience in supporting at the executive level preferred.
  • Associate's degree or equivalent from an accredited two-year college or technical school in business administration or related field preferred.
  • High School Diploma/ GED required.
  • Equivalent combination of education and experience accepted.
  • Self-starter with an entrepreneurial mindset, able to solve problems independently
  • Knowledge of Business Development processes and practices preferred.
  • Certified Administrative Professional (CAP) preferred.
Knowledge and Skills
  • Knowledge of administrative office procedures and operations of standard office equipment
  • Effective computer skills, including proficient use Word, Excel, Outlook and PowerPoint software required.
  • Effective Verbal and written communication skills, including the ability to represent the president and vice president in a highly professional manner.
  • Ability to maintain the highest level of confidentiality.
  • Ability to demonstrate the competencies of achieving results, teamwork and influence.

License

Valid drivers' license with an acceptable motor vehicle record, free from suspensions or restrictions is required.

Work Environment

While performing the duties of this job, the employee regularly works in a general, climate controlled, office environment.

Physical Requirements

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Must have the ability to lift up to 50 lbs.

Travel Requirements

Limited to no travel will be required for this position. Occasional travel may be requested based on business needs. Candidates must be able to travel when requested.
