Administrative Assistant needed to assist the Director of Special Services with regard to managing the administrative functions of the Integrated Preschool as well as out-of-district transportation needs as part of the Department's effort to ensure that special education services are provided to students with special needs in compliance with all federal and state regulations.
PERFORMANCE RESPONSIBILITIES: To provide assistance to the Director of Special Services in performing the responsibilities listed below.
Integrated Preschool
- Completes the referral process for students to the Integrated Preschool from registration, through the initial evaluation and IEP development.
- Maintains Aspen records for all Integrated Preschool students, as well as student files and documents.
- Communicates with the Nurse and staff to ensure all necessary paperwork is up to date and reporting absences, parents concerns etc. as received.
- Maintains the Master calendar for the Integrated Preschool Coordinator and Staff as it applies to Early Intervention Meetings, evaluations and IEP initial, review and renew meetings.
- Receives requests for admission from Community students and completes the process for enrollment.
- Receives and posts tuition payments for Community students to the Integrated Preschool.
- Prepares and provides tuition statements to parents.
- Prepares monthly Turnover reports for the Treasurer's department and SPED files.
- Assists ESY Coordinator in all aspects of ESY program, staffing, transportation etc.
Transportation
- Requests and receives bids from Transportation vendors for all Out of District students.
- Coordinates with OOD Case managers to ensure transportation needs for new students are met in a timely manner.
- Communicates with OOD Case workers/parents/vendors regarding changes to student transportation.
- Maintains a database of approved drivers, ensuring that all standards are applied in transporting OOD students.
- Maintains incident report files.
- Communicates with vendors and maintains files for OOD ESY transportation.
- Ensures continued service with vendors for OOD students as school years change.
- Coordinates with the District's Transportation Department for all Special Education student's transportation needs.
- Receives phone calls to the Special Education Department and assists in requests and/or forwarding to appropriate staff.
Financial and Technical Support:
- Processes biweekly hourly payroll
- Provides support, as directed, with regard to compliance management of Integrated Monitoring Review of Special Education (SE) standards
- Assists with management of student cumulative records (Active/Inactive/Graduate)
- Works collaboratively with administrators and staff
- Other related duties as assigned by the Director of Special Services
