Upper Elementary School Secretary - Job Posting


Rate of Pay:
  • Based on experience as specified in the CESPA wage schedule.
  • Benefits as specified in the CESPA agreement.
Work Schedule/Number of Hours to be Worked:
  • 7:00 a.m. - 3:30 p.m.
  • 2 (two) weeks before first day of school, 2 (two) weeks after last day of school in addition to teacher in-service days and records days
  • Full-time, school year position

Classification:

Secretary (Union Position)

Under the direct supervision of the principal, to provide clerical, secretarial and administrative assistance, conveying information regarding school functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees. Works with limited supervision.

Essential Functions/Type of Work:

  • Prepares, copies and distributes notices.
  • Maintain documents, files and records.
  • Prepare required reports, as needed
  • Prepare purchase orders and/or check requests.
  • Maintain a school budget.
  • Coordinate payroll for hourly employees.
  • Responsible for department supplies, inventories, etc.
  • Provide assistance by greeting and directing students, parents and visitors.
  • Answers telephone calls, respond to inquiry, direct and/or transfer to the appropriate person, take and relay messages.
  • Distribute incoming mail appropriately; prepare and send outgoing mail.
  • Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Enter and maintain student data in Infinite Campus, ie. enrollment, registration, student count, student records., etc.
  • Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction.
Additional Duties:

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.

Qualifications/Knowledge, Skills and Abilities:
  • Ability to describe problems and work orally or in writing to the supervisor as required.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
  • Ability to communicate clearly and concisely both orally and in writing.
  • Ability to perform basic math functions,ie add, subtract, multiply and divide.
  • Knowledge of software applications (e.g., Word, Excel, Powerpoint, electronic mail).
  • Ability to problem solve job-related issues.
  • Ability to work with a diverse group of individuals.
  • Ability to process paperwork accurately according to standardized procedures.
  • Ability to maintain confidentiality of information regarding students, employees and others.
  • Organizational and time management skills.
  • Knowledge of general office management procedures.
  • Provide secretarial support and assistance.
  • Other duties as deemed appropriate by the building principal or other administrator.
