Position Title Budget and Administrative Coordinator

FLSA Non-Exempt

Primary Responsibilities

Under the supervision of the Controller, provide general administrative and budget/accounting support to campus constituents such as posting of budget transfers in the ERP systems, assisting in the processing of requisitions and invoices into the Unimarket system and Center Suite, accounts reconciliation and other duties as assigned. Designated backup for payroll manager/running payroll processes and testing.

Primary Responsibilities:
  • Prepare and post journal entries to include transfers and budget adjustments in Colleague.
  • Process purchasing requisition in Unimarket and Center Suite.
  • Receive, review, and send invoices to accounts payable clerk for processing in a manner consistent with University's policies and procedures to include communication with vendors.
  • Reconcile and record P-Card transactions to the General Ledger using the Center Suite platform.
  • Reconcile transactions related to Campus Wide Accounts ( CWA ).
  • Reconcile subledger accounts as assigned by Controller monthly.
  • Support the budgeting processes for the department and assigned departments across campus.
  • Assist in year end and audit procedures.
  • As needed provide backup for other administrative staff.
  • Assist with booking and planning of travel and events
  • Coordinate, plan and participate in meetings and events on campus or offsite (either virtually or in person)
  • Cross train in areas of payroll and cash management.
  • Other duties as assigned
Minimum Qualifications
  • Associate degree in accounting or related field.
  • Minimum of two years of work experience in accounting or bookkeeping required.
  • A combination of education and related experience of at least five years may be considered.
  • Demonstrated ability with Microsoft Office to include Excel and Word required, as well as ability to learn and productively use related systems required.
  • Good communication skills, both written and oral are essential.
  • Great attention to details.
  • Proven ability to work with a wide variety of people to include students, faculty, staff, alumni, community members and business owners.
  • Proven ability to work under minimal supervision and employ independent thinking and problem-solving skills.
Preferred Qualifications

Knowledge of payroll rule and regulations.

Salary $22.00 - $25.50 per hour

Status (FT, PT, Seasonal, Temp) Full-time (12 months)
