Job Summary:

The DME Branch Manager is responsible for managing the day-to-day operations of the branch, ensuring compliance with industry standards, and providing excellent customer service. This role involves overseeing the distribution of durable medical equipment to patients, managing staff, and ensuring the branch meets all regulatory and financial objectives. The Branch Manager also works closely with healthcare providers, insurance companies, and patients to ensure timely and accurate service delivery.


Key Responsibilities:


Branch Operations:


  • Oversee daily branch operations, including equipment inventory, delivery schedules, and customer interactions.
  • Ensure all equipment is properly maintained, sanitized, and ready for patient use.
  • Monitor the financial performance of the branch, including budgeting, expense control, and revenue generation.
  • Ensure the branch is compliant with all applicable federal, state, and local healthcare regulations, including HIPAA, Medicare, and Medicaid standards.

Team Management:


  • Recruit, train, and supervise branch staff, including delivery technicians, customer service representatives, and administrative personnel.
  • Set performance expectations, conduct evaluations, and provide coaching for team members.
  • Ensure staff maintains knowledge of industry regulations, product updates, and customer service protocols.

Customer Service & Patient Care:


  • Serve as the primary point of contact for patients, healthcare providers, and insurance companies regarding equipment needs and services.
  • Handle escalated customer service issues and ensure timely resolution.
  • Ensure all orders are processed accurately and equipment is delivered on time, with a focus on patient safety and satisfaction.

Compliance and Quality Control:


  • Maintain accurate records of all branch operations, including patient files, equipment logs, and inventory reports.
  • Implement and enforce compliance protocols, including safety procedures, sanitation guidelines, and equipment handling standards.
  • Prepare for and participate in audits or inspections by regulatory bodies.

Inventory Management:


  • Manage the branch's inventory of medical equipment and supplies, ensuring appropriate stock levels.
  • Coordinate with suppliers for ordering new products and ensuring timely delivery of equipment to patients.
  • Track and report equipment usage, maintenance schedules, and service histories.

Sales and Business Development:


  • Develop and maintain relationships with healthcare providers, insurance companies, and referral sources to increase the branch's client base.
  • Identify and pursue new business opportunities to grow the branch's sales and service footprint.
  • Collaborate with regional or corporate management to implement marketing strategies and expand the branch's reach.

Qualifications:


  • Bachelor's degree in Business Administration, Healthcare Management, or a related field (preferred).
  • Minimum of 3-5 years of experience in the durable medical equipment industry or healthcare management.
  • Strong knowledge of DME products, services, and industry regulations.
  • Proven leadership and team management skills.
  • Excellent communication and customer service abilities.
  • Strong organizational and problem-solving skills.
  • Familiarity with Medicare, Medicaid, and private insurance billing processes.
  • Proficiency in Microsoft Office and DME-related software.

Working Conditions:


Primarily based in an office setting, with some local travel required for customer visits and meetings with healthcare providers.

Occasional lifting of medical equipment may be required.
