Job Title: Accounts Receivable and Accounts Payable Specialist

Location: Bensonhurst, Brooklyn

Job Type: Full-Time On-site

Experience Required: 3-5 years


Position Summary: We are seeking a detail-oriented and organized Accounts Receivable and Accounts Payable Specialist to support daily accounting operations. The ideal candidate will have 3-5 years of hands-on experience managing invoices, processing payments, reconciling accounts, and supporting month-end close processes. This is an entry-level position suited for candidates looking to build a strong foundation in finance and accounting in a dynamic, fast-paced environment.


Key Responsibilities:


Accounts Receivable (A/R):

  • Generate and send customer invoices in a timely manner
  • Monitor outstanding balances and follow up on overdue payments
  • Apply incoming payments accurately in the accounting system
  • Communicate with customers to resolve discrepancies or billing issues
  • Maintain detailed records of receivables and aging reports

Accounts Payable (A/P):

  • Review, code, and enter vendor invoices for payment processing
  • Reconcile vendor statements and resolve payment discrepancies
  • Ensure timely payment of bills and expenses (check runs, ACH, wires)
  • Assist with managing purchase orders and approvals
  • Maintain accurate and up-to-date vendor files and 1099 tracking

General Accounting Support:

  • Assist in reconciling bank accounts and general ledger entries
  • Support month-end and year-end close processes
  • Organize and maintain financial documentation and records
  • Respond to internal and external inquiries related to A/R and A/P
  • Collaborate with the accounting team to support audits and reporting
  • Filing claims for Net30 customers
  • Issuing W9's for customers and vendors

Insurance:

  • COIs

Qualifications:

  • 3-5 years of experience in an accounting or bookkeeping role
  • Familiarity with accounting software (e.g., QuickBooks, NetSuite, Odoo, or similar)
  • Strong attention to detail and accuracy
  • Excellent organizational and time management skills
  • Proficient in Microsoft Excel and Google Sheets
  • Ability to work independently and in a team environment
  • Degree in Accounting, Finance, or a related field (preferred but not required)
