The Business Support Specialist provides excellent customer service, maintaining a professional, yet positive approach while providing clerical and business support duties for the unit, including, but not limited to patient registration, insurance verification, obtaining preauthorization for services, scanning prenatal records, scheduling c-sections, reconciling charges and acquiring all statistical data required to complete the newborn infant's birth certificate, affidavit of parentage, and fetal death.

Responsibilities

Creates an inviting environment to patients by providing excellent customer service through listening, understanding, communicating in a friendly manner and managing patient flow in a timely manner.

Maintains cooperative and harmonious relationships with patients, professional staff, coworkers, and other areas of contact.

Courteously greets patients, visitors, staff, physicians and others upon their arrival in the department offering assistance and guidance when needed. Reviews and updates the care team assignments for each patient each shift.

Obtains preauthorization for services prior to patient's arrival or during the arrival process.

Reviews physician orders, electronic medical records and daily schedules as needed to accurately complete the preauthorizatio/precertification process.

Notifies Business Manager prior to procedure if preauthorization is not obtained.

Confirms all patients are accounted for, procedures provided were charged, and all charges are entered EPIC in a timely manner.

Reviews electronic medical record, physicians' orders and daily schedules to ensure all required documentation, including outside prenatal records are obtained and complete, as needed to post charges and ensure timely billing.

Posts c-section charges from previous day, reviewing for accuracy and completed documentation.

Reviews the daily revenue summary report and prepares variance report for those departments with revenue below expected volumes.

Reconciles charges daily.

Assigns phones and staff locators to each unit staff for the current shift. Responsible for adding/deleting staff in the call system and educating new staff on the use of the phones.

Responsible for assuring that equipment in the department is maintained by tagging item needing repair (if applicable), notifying the appropriate department for repair, verifying work completed, and following up as needed.

Maintains overall appearance of the assigned unit: cabinets supplied and neat, conference rooms always in a state of readiness for family or staff meetings, isolation cabinets always stocked. Orders supplies as needed.

Schedules procedures for the OBOR in accordance with hospital policies and standards of performance.

Utilize Epic to run the delivery summary and gather all statistical information required to complete birth certificate for all babies delivered the previous day. Ensures Birth Registration packets are available for distribution when patients arrive on the unit.

Processes all Birth Certificates, Affidavits of Parentage and Fetal Dealth Certificates within Department of Vital Statistics guidelines and timeframes and in accordance with North Carolina Department of Vital Records guidelines and applicable North Carolina State Statutes.

Notarize all documents as required for birth certificates, affidavit of parentage and fetal demise.

Maintain current knowledge of all applicable laws and guidelines governing the birth certificate and fetal demise process.

Participates in the LEAN efforts of the department.

Maintains and adjusts schedule to enhance team performance and meet department productivity goals.

Demonstrates standard of performance (ownership, teamwork communication, compassion) that support patient satisfaction and principles of service excellence

Qualifications

Required: High School or GED

Required: 2 years prior electronic medical record experience within a hospital/healthcare organization. Indepth knowledge of medical terminology.

Required: Notary Public in good standing or able to obtain certification within six months of hire.

Biligual preferred.
