This is a fully remote role, though preference may be given to candidates in Pacific or Mountain time zones to align with field operations.
Role Overview We're seeking a highly organized and detail-oriented Billing & Payroll Manager to oversee core financial operations - including customer invoicing, technician payroll, contractor payments, and accounts payable. You'll serve as a key link between our operations team, office manager, and general manager, helping ensure timely and accurate flow of money in and out of the business.
Key ResponsibilitiesBilling & Invoicing
- Generate and review invoices for recurring service accounts and repairs
- Ensure technician notes and job records are complete before invoicing
- Resolve billing issues and customer disputes in coordination with support
Payroll & Contractor Payments
- Process weekly or biweekly payroll for technicians and internal staff
- Coordinate with operations to verify hours, bonuses, and commissions
- Manage 1099 contractor payments and ensure proper tax documentation
Accounts Payable
- Process vendor invoices and manage payment schedules
- Reconcile vendor statements and resolve discrepancies
- Track AP aging and support vendor relationship management
Systems & Process Improvement
- Maintain and refine SOPs for billing, payroll, and AP
- Leverage platforms like QuickBooks, Gusto/ADP, and Skimmer or Jobber
- Support reporting for monthly close and financial reviews
Qualifications- 3-5 years experience in billing, payroll, or AP (preferably in home services or a field-based business)
- Proficiency with QuickBooks and payroll/AP systems like Gusto, ADP, or
- Familiarity with field service software (e.g. Skimmer, Pool Brain, or ServiceTitan) is a plus
- Strong organizational skills and a sharp eye for detail
- Proficiency in Excel or Google Sheets
- Spanish fluency is a plus, though not required
Compensation & Benefits- Base salary of $75,000 - $90,000 , depending on experience
- Performance-based bonus of up to 5% of annual salary
