What Were Looking For: The ideal candidate will have a minimum two years experience in Accounts Receivable, Billing, Collections, Bookkeeping or Accounts Payable. A Bachelor's degree is preferred. Work Location: Eligible for Hybrid work after training is completed Salary Range: based on experience Billing and Collections, A/R Specialist Manage all aspects of the A/R process for Ernst Instruments & Duties and Responsibilities: 1. Invoice shipments & assign freight charges 2. Prepare daily shipments & bookings reports 3. Professionally use phone, email and mail correspondence to collect overdue balances from customers 4. Monitor A/R emails and respond professionally and promptly to all customer requests 5. Deposit and post customer payments 6. Review payments from online sales and identify any fraudulent payments 7. Process and post Credit Card transactions 8. Coordinate ACH, EFT and Wire payments 9. Resolve account issues including but not limited to payments due, invoice adjustments, credit terms and refunds 10. Maintain and track A/R KPIs 11. Evaluate credit applications and analyze customer credit history 12. Reconcile customer accounts when needed 13. Credit Memos o Review credit memos created by sales/order entry o finalize credit memos and email to customers 14. Fill out vendor registrations 15. Monitor and update customer accounts, including name or address changes, mergers and contact information. 16. Assist with filing and paying monthly, quarterly, semi-annual and annual sales tax 17. Answer A/R related questions during audits and proactively prevent any issues 18. Help to identify process efficiencies within the billing process and recommend solutions 19. Cross train as backup to perform Accounts Payable Specialist duties and responsibilities when A/P Specialist is out. 20. Perform all other job-related duties as assigned. Physical and Technical Environment Must be able to sit, stand, walk, reach with hands and arms, bend and stoop in a normal office and manufacturing environment. Ability to routinely travel throughout multi-floor office and shop area walking, climbing stairs, utilizing elevator. Exposure to varying environments, changing deadlines, strict time constraints. Minimal lifting up to 50 pounds occasionally. This position may require occasional overtime depending on business needs. Candidates should be prepared to work additional hours when necessary Based on satisfactory job performance and the completion of 6 months in person, the position is deemed eligible for remote work 2 days per week as assigned by management. Productivity and performance standards must be maintained when remote, and in person work will be required if the Accounts Payable Specialist is out with planned or un-planned time off. Required Education and Experience High School Diploma or GED required. Minimum two years experience in Accounts Receivable, Billing, Collections, Bookkeeping or Accounts Payable. In lieu of two years experience, a bachelors degree in accounting will be acceptable. Ability to read, write, and follow verbal instructions in Standard English is required. Strong interpersonal skills with listening, consultative and problem-solving skills. Proficient in MS Office products, specifically Word, Excel, Teams, PowerPoint. Ability to handle complex projects and tasks independently within established standards. Ability to handle multiple responsibilities at a time and be self-motivated and proactive. Ability to function and thrive in a team environment with an appreciation of aggressive goals.
